Job description
The Administrative Associate sorts, opens and date-stamps incoming mail, pickup and processes internal and external outgoing mail by department, processes all undeliverable mail through our scanning technology, and prepare UPS and USPS packages on a daily basis.
Additionally, they will be responsible to update computer databases, process documents sent via client and CCS personnel and determine file direction based on correspondence. Candidates must have a valid driver’s license.
The hours for this position are 8:30am-5pm.

ESSENTIAL FUNCTIONS:
- Enters receipt of correspondence in the computer database and evaluates correspondence for accuracy and completeness.
- Scanning by batches into document management software.
- Processing electronic documents sent via clients and CCS personnel.
- Determines direction of collection account according to correspondence received.
- Logging and tracking of Certified, Registered and Overnight Mail.
- Daily check processing.
- Assisting with opening and date stamping, sorting, scanning and counting of mail/files received.
- Correlation and distribution of incoming faxes.
- Daily filing of completed mail/files.
- Obtain potential location information for individuals and businesses by cross-referencing available data.
- Operate various equipment and systems requiring manual and visual dexterity and hand/eye coordination
- Assist management with various projects as necessary.
- Pickup mail at the local post office – daily.
- Recycling bin management.
- Office paper/copier supply management.
- Filing/document management.
- Contributes to the department’s operational excellence and assures that the department delivers quality services in accordance with applicable procedures, policies, and professional standards.
- Demonstrates respect and regard for all clients, visitors, and fellow employees to ensure a professional, responsible, and courteous environment.
- Promotes effective working relations and works effectively both as part of the department team and cross functionally with other departments to contribute to the achievement of department/company goals and objectives.
- Assist with skiptracing/data entry as directed by management and as needed.
- Maintains work area and equipment in conditions as required by department standards.
- Operates assigned equipment and performs all activities in a safe manner.
QUALIFICATIONS:
- Moderate typing skills (35 wpm).
- 1-2 years of related work experience.
- Good communication skills.
- Valid driver license and vehicle.
- Ability to maintain a predictable and consistent full-time work schedule.
EDUCATION:
- High School Diploma or GED required.
