Role Summary
Support Capital Project Directors and manage all project duties related to the planning and execution of capital expenditures and hotel capital projects, related to engineering and fire life safety standards. Provide due diligence and investigation as directed for conversions and new hotel construction for the Company Owned, Leased and/or Managed Hotels in all company brands. Plan, Coordinate and execute capital investment and maintenance capital projects in the Americas region as assigned, and deliver all assigned projects on time, on budget and within approved scope.
Essential Duties and Responsibilities – (Key Activities)
- Plan, manage, develop, and communicate assigned project information relating to renovation/refurbishment projects, hotel conversions, capital expenditures, PIP (product improvement plans), new hotel construction projects, etc.
- Prepare installation, construction, and consultant contracts in cooperation with the Legal Department. Compile project cost reports and bid tabulation sheets for review. Prepare, communicate, and maintain project schedules and project budgets. Track cost and payment information as needed; identify trends or issues and resolve them in a timely manner, bringing critical issues to the immediate attention of the AVP (examples include cost overruns, issues with vendors or vendor approval status, issues with insurance, compliance issues, etc.)
- Develop a review process, and generate and maintain all project documentation logs (i.e. RFI’s, RFP’s, certificate of insurance, submittals, close out documentation, etc.). for assigned projects. Coordinate the scheduling and agenda of design presentation meetings, kick-off meetings, pre-construction meetings, etc.
- Recommend reputable- contractors and vendors to be considered for future projects. Work with the Procurement Groups and Project Accounting/Capital Control groups to ensure that all project-related communication and documentation is correct, up to date, sent in a timely manner and properly maintained in the project file(s).
- Collaborate with Procurement, Project Accounting, or Capital Control groups to expedite, issue contracts/purchase orders, request proof of deliveries, request payment requests, and process invoices for payment on assigned projects. Act as liaison to provide internal project information to internal and external contacts as needed.
- Provide capital spend reports to Capital Project Directors, Operations, Asset Management, or Ownership’s on a monthly/quarterly basis. Prepare other reports on projects as needed or requested.
- Manage projects as assigned, with minimal direction from assigned supervisor. Perform other special projects as needed or assigned by Capital Project Directors in Technical Services. Conduct background research for contracts, licensing issues, vendor history, payment inconsistencies, or other pertinent project data, ensuring that correct data is obtained and the project can continue to progress.
- Meet with Operations and other internal/external clients as needed to develop capital plans, budgets, and schedules for assigned project load, and to present critical steps or issues to AVP and others as needed for approval.
- Recommend and hire consultants as needed to assist in the development and execution of capital plans. Communicate and monitor project specifications with outside vendors (architectural, design, engineering and/or contracting firms) to ensure scope and responsibilities are understood, and to ensure project progresses according to plan and according to Company standards and specifications.
- In support of O&L properties, new openings and renovations, manage the extraction of data from various sources, provide tracking and develop dashboards, presentations and reports of findings to make recommendations and inform senior leaders.
Education –
Bachelor’s Degree in Mechanical and Electrical Engineering or similar construction related discipline or equivalent combination of education and work-related experience.
Experience –
8+ years progressive work-related experience in construction, renovation, engineering, building systems, or a similar discipline, preferably in the hospitality industry or a similar industry.
Technical skills and Knowledge –
- Demonstrated clear, concise, and succinct communication skills, including adapting both verbal and written communication to the needs and level of user. Demonstrated ability to communicate supportive program details (presentation, analysis) to present a persuasive argument or to effectively negotiate a sales position.
- Demonstrated ability to work on multiple projects with minimal supervision.
- Demonstrated ability to effectively manage $1 million + projects with minimal direction, including demonstrated ability to manage large budgets and large-scale construction operations.
- Demonstrated knowledge of design and construction related principles, and of company regulations and applicable Federal and State laws related to assigned program area. Demonstrated ability to use this knowledge to provide technical solutions to existing hotel designs under changing operating conditions.
- Experience in project accounting or general accounting principles preferred.
- Demonstrated knowledge of hotel and general leisure building engineering systems and a very good understanding of fire, life safety systems.
- Demonstrated knowledge and understanding of construction related documents, contracts, and any other related communication tools.
- Must be able to work overtime when required (could be with little notice depending on type/number of assigned projects).
- Advanced knowledge and experience using Excel, Word, Access, MS Project, and other related programs.
