Job description
GIA Publications, Inc. is seeking a Marketing Events Specialist. This individual reports to GIA's Director of Marketing and works closely with other members of the marketing, editorial, customer service, and order fulfillment teams, as well as with composers, authors, conference planners, and parish and diocesan leaders. This role is essential to the success of sales and marketing functions of GIA and requires strong communication and organization skills, enthusiasm and professionalism, and the ability to work equally well independently and as part of a hybrid team.
Primary Responsibilities:

- Logistical coordination for artist events, workshops, and concert tours, including development and submission of promotional materials, consignment orders and inventory, design and production of handouts and programs, and clinician contracts and compensation.
- Logistical management of convention and conference operations including oversight of exhibitor booths, sales inventory, facility needs, and presenter needs.
- Attendance and staffing of exhibit booths at trade shows independently and as part of a team, seeing all aspects through from booth display set-up to closing paperwork.
- Oversight of choral/music reading session arrangements, including scheduling, event coordination, promotional materials, production of handouts/programs, inventory acquisition, and evaluation.
- Development and implementation of special programs along with the Director of Marketing and other staff, including idea generation, scheduling, and data reporting.
- Administrative assistance for projects related to marketing.
- Fielding of escalated customer service inquiries and lead generation.
- Assistance in managing website content (e.g., audio files, PDFs, etc.)
Qualifications:
- Bachelor’s Degree and/or 1–2 years relevant work experience in marketing and/or music publishing.
- A strong work ethic and the ability to support and advocate for the mission and goals of GIA Publications.
- The ability to professionally interact with the community of GIA Publications (customers, composers/authors, diocesan and parish personnel, etc.).
- Adept computing skills on Mac and Google platforms, including Microsoft Office programs, database creation and maintenance, spreadsheet design and manipulation, and email communication.
- Strong organizational skills, attention to detail, and the ability to multitask, manage time, communicate effectively, and follow-through on projects and tasks.
- Ability and willingness to learn new skills quickly and efficiently.
- Excellent oral and written communication skills.
- The ability to function as a cooperative and supportive part of a team, who accepts responsibility, is self-motivated, and demonstrates ability to work independently in a hybrid environment with little direct daily supervision.
- Knowledge of music notation, InDesign, and Roman Catholic and/or Protestant worship a plus.
The work demands of this position frequently include bending, moving, lifting, and carrying material up to 50 lbs., physically staffing an exhibit booth 8-10 hours per day at conferences, and the ability to travel out of town/overnight for multiple days at a time, 3-4 times per year.
Work Hours: Monday-Friday, 8:30 a.m.-5:00 p.m., with occasional evening and weekend work as dictated by the needs of the department.
Location: Hybrid Position – Frequent ability to work remotely from home, with the requirement of regular onsite work at GIA’s Bedford Park, Illinois office for conference/event preparation.
