JOB DESCRIPTION
Title: Medical Assistant Supervisor - Medical Assistant Back Office
Job Summary: The person in this position will assist the Clinic Manager, CFO, and the clinical staff in performing their duties and carrying on the necessary functions required in accordance with established policies and procedures.
Job Duties: This position is responsible for the following as per Policies and Procedures organizational guidelines and processes including reporting data for quality improvement purposes:
· Oversees Medical Assistant’s (MA) staff in the department and will ensure staff are carrying out their duties and responsibilities.
· Oversees adequate medical supplies for clinic operations
· Oversees the implementation with cleaning of the medical instruments, equipment and that they are in working order
· Audit procedures with staff including but not limited to working closely with Medical Receptionist Lead and Ancillary Lead for front office, phone operators and referral issues and/or training
· Clearly understands the Provider Scheduling Templates
· Oversees management and follow up of tracking system for timely scheduling of – Physicals, Immunizations, well woman exams and Physicals including SHA - working closely with Medical Receptionist and Ancillary Leads.
· Oversees management and follow up on tracking system for pap smears
· Train new MA staff and extern students about SFMC policies, procedures, and protocols. Provide appropriate training and implementation to ensure processes are in place. Working closely with Front office and Ancillary Leads
· Timely completion of training criteria sheet within 30-60-90 days of New Hire and annually thereafter.
· Ensures monthly mock audits are in place for the purpose of compliance with ALL QC’s Monthly Logs for - Medical supplies, Pharmacy supplies, Emergency Kits, Exam rooms and Vaccine for Children
· Ensures calibration of all medical equipment is up to date
· Clearly understands CLIA Waived Testing
· Assist with Immunization activities as requested by the Clinic Manager
· Oversees MA staff in processing labs samples and the completion of requisitions as per providers orders
· Act as Liaison between staff and administration regarding staff development and satisfaction
· Help with Time sheets every two weeks by meeting deadlines
· Help facilitate support staff schedule by meeting deadlines
· Help facilitate filing and record keeping for the purpose of mandated audit protocols
· Help facilitate Quarterly meetings and agenda
· Adhere to HIPPA Guidelines
· Work independently with direction from the Clinic Manager
· Other duties as assigned
Daily Duties:
This position is also responsible for ensuring daily adequate coverage according to organizational needs, below are some examples of daily expected responsibilities
· Daily MA – One MA to Provider coverage
· MA - Lunch (ensure by staggering each MA)
· Make the necessary changes if short staffed
· Communicate with Providers of any last-minute changes (Call outs)
· Oversee flow and adequacy of Medical Assistants
· Oversee Over Time by ensuring adequate coverage

8) Must obtain a Valid California Driver’s License at all times, to allow for traveling to any Sister Site if needed.
9) Commitment to the concepts of preventive health care program and team approach to health care delivery.
10) Ability to lift 5 Ibs up to 50 Ibs.
11) Must be able to perform all the essential job functions with or without reasonable accommodation.
Qualifications, Education, and Experience:
1) Must have High school diploma or equivalent and/or have successfully completed and graduate from a Medical Assistant Program, and/or worked in the medical field setting for at least 2 years.
2) Bilingual in English/Spanish is required.
3) Four years of experience in a medical office or supervisorial experience is preferred.
4) Must have leadership abilities and demonstrate management skills.

Classification: Full Time Position, Non-Exempt
Job Type: Full-time
Pay: $18.00 - $25.00 per hour
