The Medical Records Associate contributes to the Hospital’s/WPA’s mission by retrieving, reviewing, scanning and filing medical records. This clerical position will have an impact on quality patient care, physician and staff satisfaction and financial reimbursement because accurate and complete medical records are essential for efficient patient care and billing processes.

QUALIFICATIONS:
Education:
Required: High School Diploma or equivalent

Experience
Preferred: Six (6) months of clerical experience, preferably with medical records

Other Skills/Knowledge
Required:
  • For safety and quality reasons, must be able to read, write and communicate effectively in English with patients, visitors and fellow members of the Hospital team.
  • Attention to detail
  • Computer skills
Preferred:
  • Knowledge of medical terminology
  • Exposure to electronic medical records

As part of the Medical Records team:

This position performs a variety of clerical functions associated with the maintenance and retrieval of patient medical records:
  • Scanning records, paperwork and faxes to convert paper documentation into retrievable electronic format. Taking care to ensure scanned materials reference the proper patient.
  • Monitoring faxes to ensure there are no delivery failures
  • Referencing data from the electronic medical record systems and documenting and/or communicating as appropriate
  • Submitting requests for medical records to copying service and, if necessary, copying medical records internally following WPA standards for the release of medical records.
  • Requesting paper medical records from the storage facility
  • Handling medical record materials in compliance with HIPAA, legal requirements, state and federal guidelines and hospital policies and procedures, including processing of subpoenas, which may include sending records electronically, via fax, interoffice delivery, mail, and priority mailing
  • Sorting and distributing mail

DEPARTMENT SPECIFIC JOB FUNCTIONS:

Some tasks are specific to location and/or department and include the following:
  • Answering the phone in a polite and courteous manner, directing calls, expediting calls from other doctors or hospitals and paging when necessary, answering basic questions about the practice, providing general information regarding the medical records policies and processes, and documenting electronic messages, as necessary.
  • Communicating with the on-call service, including coverage schedule changes
  • Assisting with other administrative support tasks as assigned, such as canceling and rescheduling appointments, scheduling simple appointments like flu vaccine or sick visits and registering new patients with the practice
