Job Opportunity:
Under the direct supervision of the Program Manager, the MH Coordinator will perform direct resident services, complete special projects, oversee the development of care plans, client services, facilitates group and educational presentations, and coordinate necessary referrals for clients. The MH Coordinator will oversee the day-to-day operations of the facility which include staff, residents as instructed by the Program Manager. The MH Coordinator will assist the Program Manager in training, and orient new staff to assure compliance with licensing requirements is met.
Essential Duties and Responsibilities:
- Adhere to Volunteers of Americas Operating Employee Handbook and Programs Policies and Procedures.
- Follow all Safety Policies and Procedures and ensure that residents and staff are always safe.
- Follow all Disaster Preparedness Procedures as outlined in the IIPP Manual.
- Demonstrate a working knowledge of all Community Care Licensing regulations.
- Assist in the development and operations of all program services.
- Conduct daily walk-through/inspection in the program for compliance in the areas of safety, cleanliness, and maintenance. Report findings to the Program Manager via email, and/or phone.
- Oversee correction of any safety, cleanliness, or maintenance issue in a timely manner
- Participate in all medical and mental health client meetings to ensure accurate information is shared with every client in our program.
- Assist in the development plans to appropriately utilize the efforts of volunteers in the program as needed.
- Assist in supervising and be responsible for all client data collections and quality assurance.
- Supervise and train staff to accurately gather resident information, complete intakes, discharges, ongoing forms, and resident documentation accurately and in the required program time frames.
- Oversee the coordination of intakes and discharges, ensuring all vacancies are reported immediately to the Program Manager.
- 98% Bed utilization is expected to be maintained.
- Ensure the clients schedule of activities adheres. Maintain sign-in/attendance sheets and backup documentation in accordance with regulatory and contractual requirements.
- Ensure that all nursing/medical/social work notes are filed within the client file for every client. Ensure that every staff person charged with the distribution of client medications has been trained sufficiently and records all transactions accurately in the files
- Monthly review of all documentation in clients files of progress noted during the time services was provided.
- Coordinate the transportation and the safety of clients for off-site services.
- Follow reporting requirements and mandatory timelines for reporting all incidents as they relate to clients, staff, etc.
- Maintain a good rapport, respect, and communication with agency visitors, and community social service agencies.
- Assist in supervising the staff to effectively clean and maintain the facility, program equipment, and furnishings.
- Forward any maintenance or safety issues immediately to the Program Manager.
- Assist Program Manager with daily, weekly, and monthly reports.
- Perform other duties as assigned by the Program Manager.
Minimum of one year of paid work experience in the daily operations of a licensed residential care facility is preferred, and/or minimum course work in the relevant fields to ensure enough skills in overseeing program operations and client care. Must obtain within the first 90 days of employment, an ARF Certification as required by Community Care Licensing Division (CCLD for Adult Residential Facilities (ARF). The MH Coordinator will train, and orient new staff as directed by the Program Manager and assure compliance with licensing requirements is maintained. Must possess a valid California Drivers License. Must be able to read, write and verbally communicate in writing in the English language. Additional requirements include:
- Maintain a working knowledge of community care licensing for adult residential facilities
- Ensure the facility is maintained in a secure, clean, and welcoming manner
- Perform safety and wellness checks on all residents throughout the course of the shift/ensure it is documented on all shifts
- Maintain in-depth knowledge of treatment modalities for the mentally ill population.
- Communicate effectively both orally and in writing.
- Maintain strict confidentiality for records and client population
- Must have a working knowledge and experience working with the mentally ill population.
- Must have the ability to assist clients in daily living, treatment planning & updates, and crisis intervention.
- Must have the ability to effectively orient and train other staff in accordance with all Program Policies and Procedures.
- Must have the ability to effectively train other staff in the accurate completion of all program forms.
- Must have the ability to comprehend, implement and communicate instructions to other staff and residents.
- Must have the ability to show respect, empathy, concern, and understanding to clients, the public, and staff.
- Must use good judgment to promote program effectiveness and participate in all areas of program quality improvement.
- Must be able to respond appropriately in case of program incidents or emergency medical situations.
- Must be able to document in writing all incidents that related to staff, residents, or the facility, per program policy and procedure and within the required time frame. This includes the reporting and documentation of all serious incidents and unusual occurrences relating to both clients and staff.
- Must have computer skills in Windows, Microsoft Office suite.
- Must be flexible to meet scheduling demands.
