Office and Accounting Assistant (Part-time)
Job description
The Office and Accounting Assistant for General Contractor will be responsible for providing administrative support and accounting assistance to a general contracting office located in Crystal Lake, IL. The successful candidate will be highly organized, detail-oriented, work independently and able to multitask in a fast-paced environment.
Responsibilities:
- Provide administrative support to the owner, including answering phones, responding to emails, scheduling appointments, and filing documents.
- Assist with bookkeeping and accounting tasks, such as payroll, preparing invoices, pay requests, tracking expenses, and reconciling accounts.
- Process and track payments from clients, subcontractors, and vendors.
- Create and maintain spreadsheets to track project budgets and expenses.
- Assist with project documentation, including preparing contracts, change orders, and project closeout documents.
- Coordinate with subcontractors and vendors to ensure timely delivery of materials and services.
- Manage and organize project files and documentation, including drawings, specifications, and project schedules.
- Assist with preparing and submitting bids and proposals for new projects.
- Maintain office environment and coordinate with vendors to support office and systems maintenance as needed.
- Support marketing and promotional campaigns.
- Perform other duties as assigned.
Qualifications:
- High school diploma or equivalent; some college coursework in business or accounting is preferred.
- 3-5 years of administrative or accounting experience, preferably in the construction industry.
- Proficient in Microsoft Office Suite (Excel, Word) and QuickBooks.
- Strong organizational and multitasking skills.
- Excellent written and verbal communication skills.
- Ability to work independently and as part of a team.
- Must be detail-oriented and able to maintain a high level of accuracy.
- Knowledge of construction industry terminology and practices is a plus.
Physical Demands:
- The position may require sitting or standing for extended periods of time.
- The position may require lifting and carrying up to 25 pounds.
Working Conditions:
- The position will primarily be performed in an office environment.
- The position may require occasional visits to construction sites, which may involve exposure to outdoor weather conditions and potential hazards.
Salary and Benefits:
- Salary will be commensurate with experience and qualifications.
- Flexible hours of up to 25 hours/week.
- This is not a remote position.
