Grand Finale Cleaning is seeking an Office Administrative Assistant to join our team! You will perform clerical and administrative functions in order to drive company success and growth.
Responsibilities:
- Answer inbound telephone calls from clients or potential customers
- Direct correspondance between staff and and clients via text message, email, or phone call.
- Greet and assist onsite guests
- Schedule estimates for all new clients
- Implement and Maintain an organized filing system
- Processing Client payments
- Managing Field Employees clock in/out times and closing jobs
- Ensure all employees have reported to their designated jobs on a daily basis
- Communicate with Clients any changes in arrival times or scheduled cleanings
- Perform all other office tasks (examples: sending emails, calling clients for quality checks, mailing invoices, laundry and assistance in the warehouse)
- Checking daily reminders are sent to clients and marking clients that have been sent week ahead reminders per their request
- update client notes or pictures for rotations and profiles
- Mapping drive times and mileage compensation on a daily basis.
- Cold Calls to potential Clients or Estimate Leads
Qualifications:
- Previous experience in office administration or other related fields
- Previous experience in Scheduling or Disptaching a plus but not required
- Previous experience in bookkeeping and billing a plus!
- Bilingual in English and Spanish (not required but another plus)
- Willing to Commute Daily to Lagrange, Ky office and if needed to other areas of Oldham or Jefferson County to drop off supplies or in emergency situations deliver keys or supplies to a cleaner in the field.
- Must have Experience in Microsoft Office, Excel, Word, Powerpoint, etc.

- Experience in writing professional correspondance to clients and staff members
- Dependable and Punctual
Job Type: Full-time
Pay: $35,000.00 - $45,000.00 per year
