Why does the job exist?
This position will provide administrative support to upper level managers in District 9 and Headquarters. It will manage and maintain a crossed indexed filing system, compose correspondence, assemble documents, and manage and maintain IPRA requests and subpoena tracking.
How does it get done?
This position will maintain a current and organized cross indexed accurate filing system; which incorporates both fiscal and calendar year reporting of employee statistics, to monitor District progress and performance measures. This position will regularly meet with supervisors for assignments and duties. It will compose correspondence, assemble documents, handle IPRA requests and provide support in tracking subpoenas. It will assist in providing documentation and attachments for cases upon request. This position will demonstrate proficient verbal and written communication, and have a good working knowledge in business with proficiency in english, spelling, grammar and punctuation. It will plan and/or organize to ensure assigned tasks are completed in a timely manner. It will answer/direct and/or route phone calls, emails and other correspondence to the appropriate authority. It will respond to requests, and provide accurate information in a timely manner.

The New Mexico Department of Public Safety, Department of Transportation, other Law Enforcement Agencies and the general public.
Ideal Candidate
- Experience managing office operations.
- Verbal and written communication experience.
- Experience with Microsoft Office applications, such as Excel, Microsoft Word and Adobe Acrobat.
Minimum Qualification
High School Diploma or Equivalent and six (6) months of directly related experience in office administration. Substitutions Apply. See Substitution Table below.

Employment Requirements
Employment is subject ota pre-employment background investigation and random drug/alcohol testing, in accordance with all terms and conditions of federal and state laws, rules and regulations; and employment is conditional, pending results. In addition, applicants must possess and maintain a valid driver's license and a Defensive Driving Course Certificate from the State of New Mexico or must pass an recieve the Defensive Driving Course Certificate within six (6) months of date of hire.
Working Conditions
State of New Mexico employees may be impacted by the Public Health Order dated December 19, 2022, which requires facilities licensed or certified by the Centers for Medicare and Medicaid Services ("CMS"), including all hospital types, long-term care facilities, nursing homes, hospice facilities and rehabilitation facilities, as well as assisted living facilities and adult day care settings, to adhere to all COVID-related requirements prescribed by CMS, including, but not limited to masking and staff vaccination.
Work is performed in an office setting with exposure to Visual/Video Display Terminal (VDT) and extensive personal computer and phone usage. Some sitting, standing, bending and reaching may be required. The applicant must have the ability to lift up to 25 pounds.
