Title: Office Assistant (30%) and Registrar (30%) Software Applications Owner (40%)
Department/Location: School Counseling Office, Upper School, St. Louis campus
Organizational Relationships: Reports to the Director of School Counseling
Summary: Maintains a welcoming presence in the office and actively supports the School Counseling Office by providing input and editing recommendations on written communications, supporting the counselors on general office projects and completing various administrative tasks. Additionally, maintains student academic records for all Upper School students past and present, oversees the collection of grades from the faculty via educational software and ensures the SIS software and other integrated systems are updated regularly and that user access and permissions are set appropriately. Performs all work in a professional and confidential manner. This position is part of the School Portal Core team. Full-time, school-year position.
Work Performed: Essential Duties*
- Manages and oversees the School Portal, Magnus, MaiaLearning and Parchment.
- Maintains the order and confidentiality of files and records, carefully following established policies and procedures; regularly reviews policies & procedures to recommend updates
- Serves as receptionist responding to requests for information and answering general departmental questions
- Coordinates college representative visits
- Works with Counselors to set-up and coordinate career fair details
- Assists with PSAT and AP testing including setting up payment system details in Touchnet System
- Coordinates counselor meetings with Jr. Parents and 8th graders
- Keeps all classes updated in Portal and creates initial schedule and set-up for scheduling process
- Using set criteria, develops eligibility lists for Cume Laude
- Serves as computer software contact person for the department and resolves data processing and reporting issues; troubleshoots computer issues
- Coordinates data effectively across all student information software systems and provides training, support and troubleshooting to other departments as needed.
- Provides support for counselors and general office needs

Minimum Qualifications:
- Active (or pending) membership in The First Church of Christ, Scientist, and/or in a Journal-listed branch church or society of The First Church of Christ, Scientist
- Christian Science class instruction preferred but not required
- Willingness to turn readily to God for guidance
- Bachelor’s degree, preferred
- Proficiency with technology and computers; advanced knowledge of Microsoft Office and Google Platform with specifically strong spreadsheet skills; comfortable with Adobe Acrobat DC.
