POSITION SUMMARY

The Office Coordinator supports our internal team on a variety of administrative tasks and multi-department projects. Some of these tasks and projects are recurring and repetitive in nature, such as ensuring the team has everything they need, scheduling meetings, maintaining office supplies and supply closet organization, receiving and distributing mail, updating various digital trackers, and filing paperwork. However, a majority of the duties involve special “one-off” projects.

PERFORMANCE OBJECTIVES

  • Be the go-to person for employee requests pertaining to PTO, benefits and items they need to help them in their position
  • Plan and execute quarterly team events
  • Plan and execute monthly team meetings
  • Plan and manage yearly training calendar for entire team
  • Create and help execute onboarding program for each position
  • Managing employee handbook
  • Order and maintain company uniforms
  • Design and release trendy Rogers apparel
  • Keep job descriptions up-to-date throughout year
  • Shop and manage benefits to ensure Rogers is providing the best for the team
  • Setup meetings with company financial advisor for team members
  • Work with technology provider to prepare all needed equipment for new and existing team members
  • Keep safety manual and OSHA guidelines up to date
  • Manage recruiting sites to provide resumes to each department and schedule interviews
  • Ensure office systems and supplies are functioning and available as required.
  • Provide daily, weekly, and monthly reporting on a timely basis.
  • Work with office vendors to ensure all office equipment contracts and materials are current.
  • Attend in person and online training sessions throughout the year.
  • Data entry in company software and Microsoft Office programs.
  • Keep the office and work area clean and organized.
  • Copy, typing, emailing, faxing.
  • Help with marketing activities as needed.
  • Other tasks as assigned.

KEY COMPETENCIES

  • Aptitude for building relationships with professionals at all levels of the organization, both in-person and remotely.
  • Ability to collaborate with other team members while working under pressure and while considering the perspectives of multiple personalities.
  • Experience juggling multiple projects and recurring duties simultaneously, ensuring efficient completion within deadlines and sharp attention to detail.
  • Ability to maintain poise, professionalism, and positivity when asked to perform new project responsibilities or shift priorities.
  • Eagerness for learning new tasks, with the ability to look at things from different angles and ask questions to seek a better understanding.
  • Self-starter with comfortableness working independently and with minimal supervision.
  • Experience in file management, database management, scheduling, and record keeping.
  • Experience working with a variety of social media platforms, to include LinkedIn.
  • Excellence in organization, planning, problem solving, and effective management of resources.
  • Desire for continuous improvement and documenting his/her processes.
  • Willingness and ability to work extended hours or weekends as needed to support the occasional local community events or special projects.
  • Must possess a valid/active driver’s license and a functioning vehicle.

EDUCATION AND EXPERIENCE

  • High School Diploma or equivalent.
  • 2 years’ work experience in a similar office or customer service role.
  • HR Experience, required
  • Substantial experience with G-Suite (Sheets, Documents, Gmail, Calendars, Slides).
  • Experience with Indeed preferred.

PHYSICAL REQUIREMENTS

  • Prolonged periods of sitting at a desk and working on a computer
  • This position may require travel
