Job description
The Office Manager for HVAC Company is responsible for managing the day-to-day operations of the office, including customer service, scheduling, billing, and collections. The Office Manager will work closely with the technicians, dispatchers, and other office staff to ensure that all customer needs are met and that operations run smoothly. This position reports to the Department Managers and is a part of the Nexstar Network, a professional association for HVAC, plumbing, and electrical contractors.
Responsibilities:
Manage office operations: The Office Manager will oversee all aspects of office operations, including customer service, scheduling, dispatching, billing, and collections. They will ensure that all tasks are completed accurately and efficiently.
Provide excellent customer service: The Office Manager will serve as the primary point of contact for customers and will work to ensure that all customers receive excellent service. This includes answering customer questions and concerns, scheduling service calls, and following up with customers after service is completed.
Manage billing and collections: The Office Manager will oversee the billing and collections processes, including invoicing customers, tracking payments, and following up on overdue accounts.
Manage office staff: The Office Manager will supervise the office staff, including dispatchers and administrative assistants, and ensure that they are properly trained and performing their job duties effectively.
Monitor and manage inventory: The Office Manager will track inventory levels and order supplies as needed to ensure that the office is adequately stocked with necessary materials.
Ensure compliance: The Office Manager will ensure that the company is in compliance with all federal and state laws, regulations, and policies related to office operations and customer service.
Analyze and report on office performance: The Office Manager will track and report on key performance metrics related to office operations, including customer satisfaction, billing accuracy, and collections performance.
Requirements:
High school diploma or equivalent; some college coursework in business administration, management, or related field preferred.
3-5 years of experience in an office management role, preferably in the HVAC industry.
Strong organizational, communication, and leadership skills.
Proficiency with Microsoft Office and experience using customer relationship management (CRM) software, Service Titan.
Knowledge of HVAC industry terminology, products, and services.
Ability to multitask and manage multiple priorities.
Job Type: Full-time
Pay: $20.00 - $22.32 per hour
