Job Summary:
The Office manager will often wear many hats and be responsible for many important business functions such as Cash Management (often they’re responsible for both money coming in and going out the door), Reporting, Bookkeeping, Sales, Project Management, and Customer Relationship Management (and employee relationship management!) to name just a few. The Office Manager will organize and coordinate office administration, policies, and procedures, to ensure organizational effectiveness, efficiency, and success. The Office Manager is responsible for supervising intra-office communication protocols, maintain accurate and organized documentation, overseeing administrative procedures, maintaining inventory control, managing front office staff, and task delegation. Strives to continually improve customer and employee satisfaction and maximize the financial performance of the branch.
Candidate Profile:
Organized professional who is self-motivated and is highly proficient at multi-tasking. Experienced in handling a wide range of managerial and executive support related tasks. Can work independently with little or no supervision. Very well organized, composed, adaptable, and enjoys the administrative challenges of supporting a fast-paced office of diverse team members.
Education and Experience:
- High school diploma or GED with 5-7 years’ experience in office management, retail/sales management, construction or home improvement, or related professional area required or;
- Associates/Bachelor’s degree from an accredited university in Business Administration, Business Management, or related major with 3-5 years’ e experience in office management, retail/sales management, construction or home improvement, or related professional area preferred
Essential Functions:
- Supervise and manage all front office team members as well as internal day-to-day operations for maximum efficiency
- Responsible for managing office services by ensuring office operations and procedures are organized, correspondences are controlled, and filing systems are maintained and efficient
- Complete POS management duties including reconciliations, inventory management, and data entry
- Generate and analyze key reports to provide regular updates for upper management to act on regarding pending product deliveries, installation, and accounts receivable.
- Collaborate with sales, scheduling, and production to achieve the Company’s key customer metric of On-Time Delivery and maintain accuracy of customer shipments and RMAs
- Oversee installation scheduling workflow to ensure maximum efficiency in labor productivity
- Communicate with interoffice personnel regarding but not limited to sales, scheduling, production, and administration duties
- Assist in conducting and documenting physical inventories, cycle counts, and stock room audits to ensure safety, security, and inventory accuracy
- Ensure billing is being completed on all produced work and that the invoice creation is being done according to process and resulting in a thorough and quality product.
- Manage locations A/R on jobs to make sure all efforts have been made to collect on invoices distributed in the most efficient amount of time possible.
- Understand team members positions well enough to perform duties in team members’ absence
- Assures that all front office team members are adequately trained, assesses the performance of department members, recommends pay changes and disciplinary action in accordance with company policies
- Ensures that all team members are cross trained in any capacity that is necessary to aide in development and growth of staff
- Utilize interpersonal and communication skills to lead, influence, and encourage others
- Advocate for sound financial/business decision making; demonstrate honesty/integrity; lead by example
- Keep front office team focused on the critical components of operations to drive local branch success, desired financial results, and customer satisfaction
- Ensure Customer Success Management by overseeing the customer service experience (in person and by phone) to ensure a personal and friendly experience, and maintain complete accessibility in both availability and warmth of character
- Improve customer service by communicating and assisting team members to understand customer needs, providing guidance, feedback, and individual coaching when needed.
- Ensure that results are measured against and upheld to company policies, standards, and procedures
- Ensure security, integrity, and confidentiality of team member and customer data
- Monitor and maintain office supplies inventory
- Handle customer inquiries, compliments, and concerns
- Commit to continuing education regarding company standards and industry products and services

- Extensive office management or administration experience
- Strong organizational and administrative skills in a fast-paced environment
- Knowledge of office management responsibilities, systems, and procedures
- Knowledge of standard business principles
- Exceptional attention and commitment to detail
- Must be self-motivated and driven
- Excellent time management skills and ability to multi-task and prioritize work
- Excellent communication (written and verbal) and interpersonal skills
- Principles of staffing, supervision, training, and performance evaluation.
- Strong problem-solving skills and analytical abilities
- Proficient in Windows and Microsoft Office
Travel Required: Three-month Training Program will be primarily based out of our Salisbury administration office and various locations. (Mileage paid in accordance with company policy would apply).D ay to Day travel would be minimal outside of the Lewes, DE area.
Physical Demands: The Office Manager typically works in an office environment and uses a computer, telephone and other office equipment as needed to perform duties. The noise level in the work environment is typical of that of an office. Employee may encounter frequent interruptions throughout the workday. The employee is regularly required to sit, talk, or hear; frequently required to use repetitive hand motion, handle, or feel, and to stand, walk, reach, bend or lift up to 50 pounds.
