Position Type: Part Time (20+ hours/week) Date: 05/02/2023

SUMMARY

The Office Administrator has the responsibility of providing high level office management and administrative support for Unity of Daytona Beach’s minister, staff, volunteers, and congregation. This person will give a positive first impression of the church using effective communication that supports the mission and values of the church.

ESSENTIAL FUNCTIONS

  • Assists minister with administrative duties: handling information requests, preparing correspondence, receiving visitors, arranging and/or scheduling meetings, appointments, and events, as directed.
  • Maintains confidentiality.
  • Courteously and consistently answers incoming calls; provides information and assistance; directs calls to appropriate party; takes accurate, detailed messages; manages the retrieval of voicemail and returns calls for the church office.
  • Manages the paper mail and email ensuring timely and appropriate response and/or direction to appropriate party.
  • Prepares and sends quarterly contribution letters using mail merge and Servant Keeper.
  • Keeps the minister informed of hospitalizations, births, deaths, and other events requiring facilities usage.
  • Prepares and schedules the Constant Contact weekly email.
  • Prepares advertising graphics for church events, social media, and Power Point presentations.
  • Prepares materials for classes, workshops, seminars, Board Meetings, and the Annual Meeting.
  • Monitors and orders office supplies. Orders kitchen and janitorial supplies as requested by housekeeping.
  • Maintains accurate membership database, Servant Keeper.
  • Maintains church calendar and manages facilities; communicates and coordinates with minister, music director, and other church leaders and volunteers regarding church usage.
  • Organizes and maintains all church documents, electronic and paper files and keeps the office organized.
  • Cultivates relationships with volunteers and congregation including asking for participation and support for services and events.
  • Prepares and delivers the bank deposit to the financial institution.
  • Oversees the media booth: PowerPoint, camera, Facebook Live, and soundboard; ensuring all positions are ready for Sunday and special services.
  • Performs all other duties as necessary for the success of this position.

SUPERVISORY RESPONSIBILITY

This position supervises the housekeeper.

WORK ENVIRONMENT

This position operates in a professional church and office environment. This role routinely uses standard office equipment and requires a substantial knowledge of computer software applications.

EXPECTED HOURS OF WORK

The hours for this position include flexibility in weekday hours but the employee must be available during the “core” work hours on Sundays from 8:30 - 1:30 , Tuesday-Thursday 10:00- 3:00, Friday and Saturday – as needed for special services- such as evening services, Celebration of Life services, Christenings, or weddings.

TRAVEL

Travel is local and may include some out of area overnight travel for conferences and training events.

PREFERRED EDUCATION AND EXPERIENCE

  • Two or more years of office administration experience preferably in a church or non-profit organization. An A.A. degree preferred.
