Position Description

The Office Support Representative-Reservationist & Permit is a Civil Service position located with Metro Parks & Recreation. This position is responsible for permitting picnic shelters, inflatables, model airplanes/boats, athletic fields, food truck permits, and special events sponsored by Metro Parks. Performs a range of routine administrative and non-standard clerical duties in the area of permit processing, customer service, and customer account maintenance, etc.

Metro's Parks and Recreation Department has something for everyone through its variety of strategically placed facilities and programs. Parks offers cultural arts and fitness classes, dog parks and nature programs and 16,000 acres of open space, including 121 parks and 19 greenways. Ice hockey, sports leagues, art galleries and much more are among the offerings. An active and fun place where there is always something going on, Parks might be just the place for you.

Typical Duties

  • Manages food truck permits; provides information to the public.
  • Prepares daily billings for permits.
  • Handles permit complaints and inquiries, both in person and by telephone.
  • Maintains records on various types of reservations.
  • Compose letters, memorandums, notices, and related documents.
  • Manages busy multi-line phones, as well as assisting walk-ins, requesting park reservations.
  • Verifies documentation as needed for certain licenses, insurance status, and updates records.
  • Utilizes computer software to manage reservation and permit information.
  • Prepares daily/weekly reports, including bank deposits.
  • Invoices customers.
  • May serve as receptionist at the primary point of contact for the office.

Minimum Qualifications

EDUCATION AND EXPERIENCE
High School Diploma or equivalent.

LICENSE REQUIRED
None

Candidates with accreditations earned in a foreign institute are encouraged to apply.

Note: Per Metro Ordinance No. SO94-1078. All employees of the Metropolitan Government shall be residents of the State of Tennessee or become residents of the state within six (6) months of employment as a prerequisite to employment with the Metropolitan Government.

Preferred Experience, Knowledge, Skills, and Abilities

  • Experience taking reservations and/or permit processing
  • Proficient in computer software products
  • Point of sale experience
