Position Title: Operations and Customer Relations Associate

Program: SecureRMS

Reports To: Production Manager

Hours/Schedule: 32 hours per week/full-time

Hourly/Salary Status: Hourly

Position Overview: The Operations and Sales Assistant will handle customer service, sales, operations support and administrative duties for Waypoint’s (formerly Waban Projects) social enterprise SecureRMS, a secure shredding document destruction business.

Duties and Responsibilities:

  • Provide excellent customer service, including responding to new and existing customer requests in a timely manner. Handle all phone calls and respond to email inquiries.
  • Become super user for entity software system, Total Recall, (currently being implemented). Facilitate invoicing, ticket reconciliation, and collection of aged receivables. Update all customer records. Track company inventory.
  • Assist with all aspects of SecureRMS’ financial records and work directly with Accounting Department.
  • Draft and facilitate customer contracts, product pricing, negotiations, monitor contract renewals and timelines, and maintain and develop business relationships.
  • Responsible for recordkeeping and maintenance for but not limited to NAID annual audit, policy documents, vehicle maintenance records, registrations, etc.
  • Work with Production Manager to understand driver routes and assist with scheduling as needed. Provide support for Production Manager and SecureRMS operations as needed including occasional shredding, sorting, etc.
  • Collaborate with Waypoint’s Communications & Marketing Director to develop efficient marketing, sales, and development materials, flyers, communications, presentations, and social media platforms.
  • Other duties as assigned.

General Requirements:

  • Must have exceptional verbal and written communication skills and excellent time management and organizational skills.
  • Must have excellent customer relations skills.
  • Must be proficient with Microsoft Office 365 and using financial/sales software systems.
  • Must be flexible and willing to jump in where needed.

Qualifications:

  • Must hold an Associate degree or higher.
  • Must hold a valid driver’s license and pass all required background checks and drug tests.
