Operations Manager

Reports to: Lead Pastor

Status: Full Time

Pay: $52,000 - $55,000 (401k benefits negotiable)

FLSA: Exempt

The candidate will be responsible for producing weekly communication pieces, including bulletin and electronic newsletter; assisting with daily administrative tasks, including office and janitorial supply management; building scheduling for internal and external stakeholders; receiving and processing invoices; and other administrative duties as assigned by their supervisor.

Key responsibilities:

Administrative (30%)

  • Screen and route all incoming calls and receive visitors to church office, responding to needs as appropriate.
  • Develop and maintain the church calendar in coordination with persons both internal and external to SSUMC, including baptisms, weddings, and funerals
  • Receive all incoming correspondences, including bills and invoices, and route as appropriate
  • Assist with the planning of church events from conception to implementation working closely with church staff and coordinating volunteers
  • Coordinate collection of materials for annual Charge Conference (fall) and Statistical Reports (spring)
  • Ensure maintenance of all inventories, warranties, guarantees, and software licenses
  • Maintain an adequate supply of office resources available for staff and lay leaders
  • Maintain an adequate supply of janitorial supplies
  • Coordinate weekly with staff to maintain the membership database with responsibility for its accuracy, completeness, and robustness

Communication (40%)

  • Coordinate creation of mass communications (email, text, phone) to keep the SSUMC membership informed
  • Produce church correspondence, including worship bulletin and weekly ENews, by collecting and inserting copy from appropriate stakeholders and editing as needed
  • Maintain SSUMC website by updating content to include sermons, calendar of events, and major events/activities on the homepage
  • Maintain and update a digital repository for all photos of SSUMC worship and special events. Use these photos to ensure consistent updating and rotation of the SSUMC bulletin boards, social media, and website at the direction of their supervisor
  • Software proficiency - Google Suite, Word, Apple/Mac hardware

Facilities(30%)

  • At the direction of the Facilities Committee and Lead Pastor, oversee the care, upkeep, security, and maintenance of all Church facilities and parsonages, including responding to problems or emergencies and serving as primary on-call contact for any facility or security issues
  • Oversee the best use of available Church facility space for outside groups, including marketing available space to outside groups, managing tenants, and establishing and maintaining long-term building partnerships
  • In conjunction with the Facilities Committee, ensure major capital projects are cared for and aligned to the annual budget or allocation
  • Ensure all facilities-related compliance matters are handled properly to include lease management, safety, and building regulations
  • Participate in soliciting/analyzing bids and then providing contract administration during the contract period of a variety of projects at the direction of the Facilities Committee and Lead Pastor
  • Manage building contracts and licenses: elevator, HVAC, security, trash removal, certificate of occupancy, basic business license, fire inspection, sprinklers, alarm system, and health inspection at the direction of the Facilities Committee and Lead Pastor
  • Coordinate and participate in set-up and take-down for events in the church

Physical Requirements

  • Ability to ascend/descend stairs and ladders to access all areas of the church, including the roof
  • Ability to maintain a stationary position for long periods of time

Pay: $52,000.00 - $56,000.00 per year
