Position Summary:

Under limited supervision provides support to operating department including information management to various databases, coordinating with department members to ensure all regulatory records are filed, dispatched, and updated as necessary, and report preparation as needed.

Essential Functions:

  • Oversee departments’ purchase orders, requisitions, purchasing card entries, inventory (as necessary) and other mainframe/FMS financial management system duties.
  • Input, perform data mining and analysis, and design reports for various databases such as electronic document management systems, various computerized maintenance management systems, SQL databases and other information storage /retrieval programs as necessary.
  • Assist Director and Assistant Director in all financial -related matters as needed.
  • Perform research, analysis, and prepare reports as required by department management on a variety of topics.
  • Primary liaison with Accounting and HR related to Kronos, time keeping, new hires, and temporary staffing.
  • Responsible for departments’ ISO 14001, LLR, OSHA, company policies, and safety training documentation.
  • Primary liaison with Budgeting regarding accounting project management duties related to Net Recurring.
  • Records management per company policy.
  • Perform data entry and generate reports utilize the Computerized Maintenance Management System (CMMS).
  • Responsible for maintaining the CMMS database, updating work order templates, securities, materials, user information, equipment, etc. as required to align with and improve work processes.
  • Coordinates and issues monthly operating report.
  • Participates and leads various intra company committees.
  • Maintain reporting schedule, contacts, documentation, and related duties associated with department’s regulatory commitments.
  • Regular attendance is required.
  • Job performance must conform to all CWS policies and procedures.
  • Specific knowledge of CWS Environmental Management System policy and procedures.

Additional Duties

  • May be required to participate in intra/inter departmental cross training.
  • May work in the capacity of Administrative Supervisor.
  • Offer suggestions for improving work practices.
  • Track associate DHEC licenses and progress through various levels as required.
  • May be required to perform general administrative tasks including answering phones, taking messages, greeting and routing guests, coordinating meetings, filing, copying, etc. as needed.
  • Perform other duties as assigned.

Job Requirements

Physical Requirements, Activities, and Working Conditions

  • Sedentary work exerting up to 20 pounds of force occasionally and/or negligible amount of force frequently or constantly moves and transports objects.
  • Must be able to remain in a stationary position 50% of the time.
  • Visually observe and comprehend computer/terminal screens, reports and correspondence for data input and filing.
  • Constantly operates a computer and other office productivity machinery such as but not limited to a telephone, calculator, and fax machine.
  • Occasionally move about inside the office to access file cabinets, office machinery, etc.
  • Frequently positions self to maintain the filing systems and accessing bulletin boards.
  • Must be able to communicate to exchange accurate information in writing, verbally and with a 2-way radio, to include comprehension of complex oral and written instructions.
  • Ability to receive detailed information through written and oral communications.
  • Ability to operate and maintain motor vehicles.

Education and Experience

  • Associate Degree required in Business, Accounting, IT or related area of study, or a combination of education and/or office, clerical or administrative experience to equal three (3) years. High School Diploma or GED required.
  • Competent in Windows-based software including Excel, Power Point and Word.
  • Prior work record indicating dependability and conscientiousness.

Licenses, Certifications, Registrations

  • Valid South Carolina Driver’s License required.

Training Needs:

  • OSHA and Departmental safety training as required.
  • Skills Based Training.
  • Standard Operating Instruction (SOI) per department requirements.
  • ISO 14001 standards for department and company.
