GENERAL DESCRIPTION OF POSITION:
Dental Services Coordinator - Responsible for coordinating patient services during night clinic twice a week, patient payments, insurance verification, records management and patient referrals. All communication is in a bi-lingual (Spanish/English) environment.
ESSENTIAL FUNCTIONS / MAJOR RESPONSIBILITIES:
- Assist with all patient/student communications (verbal & written) to ensure that student clinical requirements are met and patients seeking treatment are served.
- Provide culturally appropriate communication for patients in a bi-lingual (Spanish/English) dental setting.
- Assist Manager of Dental Patient Services with patient payments, collection of past due accounts, daily deposits and end of day closing.
- Perform HIPAA compliant patient communications such as release of dental records following Pacific University Policy to comply with Federal Law.
- Assist patients with resources for dental services not provided by the Dental Health Clinic.
SECONDARY FUNCTIONS:
- Scan patient records into the Secure online storage file and sharing for Pacific University.
- Data entry in axiUm for patient record keeping. Perform other related duties as assigned.
Supervisor Responsibility:
Evening Dental Service Coordinator may need to act as office manager to assist Manger of Dental Patient Services and Dental student services coordinator cover during night clinic twice a week as needed.
REQUIRED KNOWLEDGE, SKILLS, ABILITIES & BEHAVIORS:
High school education or equivalent; some college or advanced management training preferred.
Minimum two years of dental office experience in client services required.
Advanced experience using Microsoft Office applications including Word, Excel and PowerPoint.
Experience using dental office software including scheduling tools and accounts receivable.
Must be fluent in Spanish both verbally and written and able to communicate in Spanish/English dental terminology and be culturally sensitive to Hispanic populations.
Working knowledge of Medicare, Medicaid, MVA, Workers Comp and private insurance billing and reimbursement processes, and legal requirements as applicable.
Working Knowledge and adherence of Commercial and Government Payers policies and guidelines.
Billing workforce members will have a minimum of two year current professional experience .
Communicates effectively with students, faculty, staff and the public appropriate to the age and culture of the individual served.
Builds on basic learning and carries it from one situation to another
Asks questions and seeks assistance as needed
Takes responsibility to eliminate the source of problems
Maintains proper appearance and personal conduct for the employee’s particular job.
Flexibility with personal schedule is a key attribute
Uses effective communication skills taking into consideration body language, filters, listening, paraphrasing, and questions with customers of diverse ethnic and cultural backgrounds.
Strong organizational skills and attention to detail.
Ability to prioritize assignments, manage multiple projects and meet deadlines.
Ability to work both independently and as a team member.
Excellent written and interpersonal communication skills.
Certification in basic life support (BLS)
Ability to establish and maintain effective working relationships and observe professional boundaries.
Ability to maintain confidentiality of patient, student and faculty issues.
