Job Summary
Department-Specific Responsibilities
- Serves as resource for day to day activities of faculty and staff regarding financial processes and account balances.
- Plans for expenses based on projected budgets as well as to monitor the accounts on the ongoing basis throughout the year.
- Understands the impact transactions have on the overall budget of the department.
- Responsible for reconciling general fund and non-general fund accounts within the Department of Chemistry and advising faculty of their use according to University policy and procedure.
- Reports directly to and works closely with the Director of Business. Compliance with University procedures, as well as those of the Finance Office in the College of Arts and Sciences, is imperative.
- Serves as the main resource for all staff members on financial procedures and payroll.
- Prepares detailed financial reports to share with department administrators.
- Expediently processes all financial transactions, including transfer of funds, budget adjustments, service billings, BEX billings and cash receipts is essential.
- Provides assistance, as needed, in a busy office environment, and provides backup for purchasing and travel activities, and for the Office Services Assistant (when out of the office).
- Initiates HRMS documents (hire/maintain/ terminate/transfer employee, administrative post, leave of absence, renew contract, return to duties, etc.).
- Initiates I-9 and background checks for new employees.
- Ensures work authorizations are current for foreign graduate students.
- Serves as the department’s payroll processor. Reviews and balances biweekly and monthly payroll vouchers.
- Initiates adjustment vouchers.
- Works with employees’ supervisors to ensure that employee TIME sheets are reviewed and approved before each payroll cycle’s deadline.
- Monitors payroll to ensure employees are paid correctly and is responsible for reconciling payroll vouchers with department database for biweekly and monthly payrolls Runs payroll audit reports and circulates to work area supervisors. The chemistry department has approximately 85-100 biweekly paid employees, and 330 monthly paid employees. Changes in accounts, appointments and work authorizations must be closely monitored and up to date prior to scheduled payroll voucher cutoffs to avoid delays or omissions of each employee’s direct deposit of their pay. Any problems with payroll must be handled swiftly and professionally so the employee does not suffer any financial duress.
General Responsibilities
- With minimal supervision, performs financial and administrative tasks related to processing financial or other administrative records.
- Takes on more complex assignments and provides guidance to lower-level Financial Administration Coordinators.
- Maintains records of financial transactions, compiles data, and prepares reports. May oversee the processing of documents into the university's central information systems (Travel, KFS, HRMS, etc.).
- Investigates and resolves discrepancies that require more advanced knowledge and experience; following policies and procedures, recommends audits.
- Assists in designing, documenting, and implementing processes.
- Processes payroll and verifies accuracy of payroll information. Verifies accuracy of adjustments to payroll including supplements and garnishments.
- Monitors financial accounts and ensures timely payments are made to payees.
- Responds to inquiries regarding financial and/or personnel policies and procedures; takes the lead on the most complex cases within their scope of work.
- Serves as liaison to department and/or other university divisions.

Required
- High school diploma or GED
Preferred
- Bachelor's degree
WORK EXPERIENCE
Required
- 4 years of relevant experience
Preferred
- 3 years of accounting or budget experience

Working Conditions / Demands
This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.
