Hours - 37.5
Location - Barnet
Rate - £16.65 PAYE Per Hour
Liaise with the Senior Managers as required in the organisation of the service lines corporate functionality.
Ensure the Senior Management team has to hand all necessary papers, documents and/or reports at the commencement of each working day in addition to those required for any scheduled meetings or committees.
Receive visitors for the Senior Management team appropriately.
Deal with routine correspondence on behalf of the Senior Management Team, including preparing letters and reports for signature.
Ensure the speedy and efficient dispatch of incoming post, faxes and telephone messages.
Receive all incoming post, and faxes, collating where required with previous related correspondence before passing to the Clinical Director and prioritising same.
Receive telephone calls and deal with them appropriately.
Provide accurate computerised reports as and when requested.
Organise seminars and other key events internal and external to the service lines as required.
Ensure that there is comprehensive administration support, and that work is prioritised in accordance with service need.
Be flexible to the needs of the service lines and ensure cover for all aspect of administrative work.
Establish office procedures which reflect good office practice.
Ensuring the implementation and maintenance of effective client and team filing systems, ensuring that client records are kept safe, confidential, up to date and accessible.
Managing and contributing to the administration and organisation of team meetings as required.
Taking minutes of meetings, distributing as appropriate and taking administration follow up acting on own initiative.
Manage invoicing and the raising of purchase orders as required
Provide effective diary management and email co-ordination to the Head of Community Operations
To engage and provide administrative support with projects involved in the Community Transformation.
To have an understanding and be able to operate a number of core systems including RiO, Trac jobs, E-Finance, SSRS and HealthRoster
To coordinate audit and data reports for the Head of Community Operations and undertake analysis where required.
To provide administrative support where required to the Senior Service Leads.
