Preschool Program Director, Office Manager

The Spring Hill School’s Program Director is responsible for performing a variety of complex clerical work to ensure the office and school is running efficiently and positively and interacts with students, parents, teachers, and staff in a supportive, positive, and professional manner. The position supports all necessary functions of the office; assists the site administrators and office staff by orchestrating workflow and ensuring the office delivers excellent customer service, tracks attendance records, monitors school mail, and managing the school calendars by performing the following duties:

ESSENTIAL FUNCTIONS:

Office Manager:

  • Support the mission of the school through all work
  • Ensure a safe, positive, friendly, supportive, and professional school environment for staff, students and families
  • Answer phones; screen office visitors and telephone callers in a gracious and congenial manner; answer questions and /or refer persons to another source of information as needed
  • Assist with Before-Aftercare billing
  • Schedule teaching team including support teachers to cover morning, lunch, and afternoon breaks, classroom teaching coverage in case of absentees. Etc. The director will also be called upon to cover/support teachers’ shifts (during school hours, before and after care programs, breaks, and classroom teaching) as needed and in the case of absentees.
  • Assist, track, and record staff absences, ensuring all certificated and classified staff positions are filled in the absence of the regular employee
  • Manage and oversee the campus budget and ensure that the budget is maintained
  • Monitor and Approve hourly employee timesheets
  • Prepare and maintain records of school purchases and orders supplies, books, materials, and equipment as requested by administration (Expense Tracking)
  • Collect and distribute incoming mail; ensure all outgoing mail is collected on a daily basis
  • School Photo Coordination (coordinating the classes on the actual photo day...)
  • Operate office machinery and assures its functionality (access codes, warranty, service contracts)
  • Maintain school information/inspiration board (shadow box)

Site Supervisor:

  • Ensure that school facilities (all areas included by not limited to classrooms, playground, parking lots) are well maintained, safe for children and comply with laws and regulations.
  • Ensure the environment meets all health and safety standards for the purpose of requirements by the Department of Social Services Child Care Licensing, the California Department of Education Child Development Division and local requirements.
  • Maintain all documentation required by Department of Social Services Child Care Licensing
  • Prepare and maintain teachers and support teachers work schedules to accommodate children enrolled in the program in accordance with ratio regulations.
  • Track all required faculty trainings/certifications (including CPR)
  • Assist in hiring of teachers for the (post ads, setting interviews, participating in interviews and follow up steps as needed
  • Create and provide the classrooms (before and aftercare teachers) with Emergency Contact Bindes
  • Maintain attendance lists/ records; class lists and contact information, and ensure attendance tracking program is updated and accurate.
  • Ensure all medical information forms and emergency contact are updated annually, and recorded for new students
  • Maintain medication lists, and high needs medical students lists
  • Properly maintain all student records for accuracy and completion, and creation of CUMS
  • Facilitate regular emergency drills
  • Liaison between school and families (sick children, etc.)
  • Share parents’ communications, especially around concerns with the head of school asap
  • Consistent and effective communication with staff, teachers, and families throughout the year in a positive, professional, and timely manner. Communication also includes proof teachers communication with families as needed, proof Friday Parent Dispatch, etc.
  • Organize, lead and or support school (Early childhood Campus) school calendar, and events such as teachers’ appreciation and in-service days, family orientations meetings, admissions related meetings and events, school picnics, family events, International Day, Valentine’s Market, annual gala, promotions, etc.
  • Support teachers and staff and promote their professional development
  • Participate in staff meetings, trainings, and professional development

Summer/Holiday Camps

  • Assist in enrollment when needed
  • Prepare staff and teachers Schedule
  • Secure teachers
  • Summer supplies list/facility work, etc.
  • Monitor Before/Aftercare
  • Create Flyers and booklets for registration recruitment

MINIMUM REQUIREMENTS:

Knowledge of:

  • Department of Education, Child Development Division guidelines
  • Early childhood development and appropriate practices
  • Appropriate health and safety codes
  • Skills in establishing and maintaining effective communications with adults and children
  • Computer skills, including Google Apps, word processing, spreadsheets, database management, and basic accounting software (Quickbooks - desired, not required)
  • Use of correct English, spelling, and arithmetic to clearly and informatively communicate; edit work for spelling and grammar; varies writing style to meet needs; presents numerical data effectively, able to read and interpret written information

  • Be able to multitask effectively with constant interruption
  • Work without close supervision
  • Operate a computer and learn new programs as required
  • Meet the physical requirements necessary to safely and effectively perform assigned duties
  • Maintain effective and positive work relationships with those contracted in the performance of required duties
  • Learn and follow the practices, rules, expectations of The Spring Hill School
  • Maintain confidentiality of school related information

EDUCATION:

  • AA in Early Childhood Education/BA/Master's preferred

EXPERIENCE:

  • 2 years early childhood classroom experience and Site Supervisor/Director Permit
  • Two (2) years of full-time paid experience in clerical and secretarial work (preferably in a school setting)

REQUIRED:

  • A valid A Valid Child Development Site Supervisor / or Program Director Permit
  • Candidate must possess within 30 days of hire:
  • PediatricRed Cross First Aid Certification, including CPR
  • TB test
  • Fingerprint clearance

PHYSICAL DEMANDS:

  • While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel; reach with hands, and arms and talk or hear. The employee is frequently required to stand and walk. The employee must frequently lift and or/ move up to 10 pounds, and occasionally lift/move up to 30 pound packages.

Pay: $55,000.00 - $70,000.00 per year
