Position Summary:
This position is responsible for managing the overall contract lifecycle management (“CLM”) system containing 1000’s of contracts through administration, connectivity, process standardization, communications and training, compliance, analysis, reporting, retention and governance. Leads the Indirect Procurement Supply Chain Financing Program to enable the delivery of $100M in Cash Flow improvement through 5,000+ suppliers comprising ~$1.25B of spend through strong collaboration across procurement, legal, finance and external banking and technology partners. Support SVP Procurement in the program management of strategic initiatives, manage calendar/schedules, and other miscellaneous support activities.
Major Responsibilities/Essential Functions:
CLM – Contract Lifecycle Management System
Core:
- Overall ownership of the CLM System.
- Manage CLM including processes, workflows, and controls.
- Ensure 100% of indirect contracts route through the system and are retained.
- Ensure each contract includes an Executive Summary and summaries are standardized and distributed prior to contract routings through CLM.
- Issue quarterly communications with a policy reminder and request that any contracts executed outside CLM be sent to the PMO for retention.
- Oversee company compliance though the use of CLM and adherence to the Delegation of Authority (DOA) as per Audit and CFO.
Strategic:
- Drive continuous improvements through further implementation of all system capabilities working with Legal, Procurement, Audit, Finance, and IT.
- Ensure 100% of Indirect contracts go through the system while expanding across the company with an initial focus on Merchandise.
- Develop, document, communicate and deliver a formal user training program, governance and reporting which is critical to ensure that the financial controls are supported, including sign offs according to the DOA, as well as retention and searchability to identify contract triggers to communicate with key stakeholders, including Procurement, to action to drive savings – proactive vs reactive reliance upon email notification.
Supplier Financing Program:
- Manage the program including engaging with Procurement to ensure that we are driving the program through term negotiations.
- Provide oversight and governance with analytics and reporting.
- Provide training including how to utilize the program, connectivity into the SF Taulia tool and direction of team members and/or suppliers to JP Morgan, Signet’s banking partner.
- Engage with Finance on a regular basis to address progress of program and delivery against established cash flow targets.
Program Management:
- Support SVP Procurement in the program management of strategic initiatives, manage calendar/schedules, and other miscellaneous support activities.
- Develop standardized project management approaches, train on the same, and ensure document retention.
- Track progress vs deliverables and associated timelines.
- Provides regular updates on programs including delivery against established goals.
Performs additional duties and projects as assigned.
Consistent regular scheduled attendance is considered an essential function of this job.
Position Qualifications:
Education Required:
- Bachelor’s degree Supply Chain, Legal, Finance, IT, or a related area.
- Required or Acceptable Job-Related Experience:
- Experience with legal and procurement technology solutions (contract lifecycle management), program management, business analysis, and similar.
Years of Job-Related Experience Required: minimum of 3 years
Technical/Other Skills Required:
- Strong communication and collaboration skills with the ability to interact with all levels of the organization. Must be comfortable interfacing with Signet’s Senior Executives and their administrative staff.
- Strong organizational skills with the ability to manage time and multiple priorities to completion.
- Detail oriented, ability to quickly problem solve.
- The ability to interpret policy and process and effectively disseminate knowledge.
- Excellent customer service skills with ability to prioritize and work well in fast-paced environment and who works well under pressure.
- Training development and delivery and software management and support.
- Computer skills, specifically Microsoft Office including Word, Excel, PowerPoint, Access, and Teams.
