What You Will Do:
In this role, you will oversee the daily operation of document digitization processes, ensuring service and product meet established quality, timelines, customer expectations and contractual obligations. Expected to continuously look for methods to improve efficiency and maximize performance by utilizing metrics, setting goals and work schedules, and evaluating and updating standard operating procedures. You will directly supervise non-exempt employees, providing guidance, motivation, training, support, award and discipline. Required to fully understand safety and compliance policies, ensuring adherence by all team members. This position utilizes good customer service skills with direct customer interface. Will be responsible for training new hires or with updated procedures.
Essential Job Functions:

  • General supervisory duties including, but not limited to, those listed in the above section.
  • Oversee a team of clerks who are executing the following work:
  • Disassembly and Reassembly of files, preserving original order and condition.
  • Maintain production quotas and quality standards for the position.
  • Process files through a high-speed scanner.
  • Data entry of scanning inventory and routine production.
  • Monitor Quality and Productivity metrics for individual clerks, address any underperformance issues.
  • Work with team lead to distribute work assignments and delegate equitable workload to team members.
  • Along with the quality analyst, review work product for quality and make adjustments to ensure the highest quality levels are achieved.
  • Help train new hires on processing and identify any retraining needs.
  • Address individual performance and attendance issues in a timely manner
  • Along with leadership, monitor and manage schedule and throughput to ensure target rates are being met.
  • Capture productivity information for entry into database tracker.
  • Interface with customer regarding any concerns about files.
  • Ensure privacy and security is maintained in the facility at all times.
  • Safeguard government files from potential damage or exposure. Report
  • Maintain a professional demeanor at all times with staff and clients.
  • Keep regular and punctual attendance.
  • Must meet all confidentiality requirements to preserve client data privacy.
  • Raise concerns as you become aware, and maintain communication with leadership team.
  • Participate in Teams calls for planning and execution.
  • Act as a liaison in corporate matters for Human Resources and payroll. Help guide staff to ensure they receive the needed support.

Additional Responsibilities and Performance Requirements:

  • Understand and follow Standard Operating Procedures; Applies common sense understanding to carry out written, oral or diagram instructions.
  • Understand basic metrics and how to calculate and plan production, as well as manage to a schedule.
  • Excellent Written, oral and interpersonal communications skills.
  • Basic understanding of Microsoft 365, e-mail, Excel, Word, Teams. Ability to create documents in these platforms. Understand how to navigate through a Windows environment.
  • Reading, alphabetization, and numerical skills.
  • Time-management skills.
  • Other related duties as assigned.

Physical Requirements:Must be able to use repetitive hand/wrist motions, sit for prolonged periods, lift or move up to 40 lbs., and have visual ability to see objects closely (as in reading for long periods and using a computer monitor).
What You Will Need:
Associate Degree and/or equivalent years of experience in a management or supervisory position.
Knowledge of Microsoft Office and ability to learn and teach digitization or other software to team.
Other Requirements:

  • Obtain/retain a government public trust security level clearance (includes a credit check).
  • Must be a U.S. citizen.
  • May be required to pass pre-employment drug screen, and/or as needed.
