The Role: The Program Associate will lead the design and execution of select Alliance projects, support efforts to streamline workflows and cross-departmental coordination, and ensure on-time, on-strategy delivery of events and other programming goals. This position will report to the Director of Program and Strategy Management.

Hybrid Work Environment: This is a full-time position in Washington, D.C., with hybrid virtual and in-person work arrangements, with a minimum of 2-3 days of in-office work expected, consistent with public health conditions.

Primary Responsibilities

Project Management

  • Collaborating with members of other Alliance departments to translate project objectives into work plans with milestones and measurable outcomes
  • Managing the workflow of multiple projects simultaneously, including setting and meeting deadlines, managing inputs and dependencies, as well as maintaining a system for tracking, monitoring, and prioritizing numerous deliverables
  • Creating project-level goals and ensuring consensus on those objectives with internal and external stakeholders, as well as reporting on key milestones
  • Supporting the Senior Program Manager with the creation of dashboards and workflow visualizations in Monday.com, Miro, and/or other project management platforms to summarize progress toward the Alliance’s goals
  • Coordinating with Alliance staff and external partners to strengthen communication and ensure smooth and efficient event processes
  • Working closely with the Events and Program Associate to help craft the overall vision for events, and manage the attendee experience, logistics, and execution of the Alliance’s events. Specific events include health policy briefings, press events, summits, private convenings, an annual reception, and an annual dinner

Briefings are held virtually and in-person on or near Capitol Hill and at other locations in the DC area, and future events may include multi-day, out-of-town Congressional retreats, as conditions permit.

  • Supporting continuous quality improvement efforts by identifying and contributing to workflow efficiencies and disseminating learnings and best practices

Administrative and Program Support

  • Drafting program updates, memos, presentations, and other materials that effectively communicate project goals and complex public health and policy issues to a range of diverse stakeholders
  • Managing program databases including updating event and stakeholder information in Airtable, Hubspot, and other online CRM platforms
  • Organizing, designing, and maintaining the department’s filing systems in SharePoint and Google Workspace to ensure consistency and incorporate best practices for increasing transparency and knowledge sharing across the organization
  • Assisting the Director of Program Strategy and Management and Senior Program Manager with special projects related to the team’s change and knowledge management priorities
  • Carrying out other administrative or operational support duties as may be directed by the Director of Program Strategy and Management

Relationship Management and Communication

  • Cultivating and maintaining relationships with Alliance funders, consultants, and other key stakeholders to grow and expand partnerships
  • Meeting management support for discussions with internal and external stakeholders and working with the Senior Program Manager to incorporate elements of creative meeting design
  • Providing quality assurance and design support on program materials by proofing memos, presentations, and other documents in addition to proposing visually appealing styles that meet a range of adult learning needs
  • Assisting the Events and Program Associate in coordinating and preparing event speakers including responding to inquiries, scheduling prep calls, reviewing and assembling presentations, and implementing new protocols to improve overall participant experience
  • Serving as the main contact person during the absence of team members, including managing responses to correspondence and addressing urgent issues with appropriate staff
  • Commitment to incorporating the perspectives of multiple communities, including historically marginalized communities, in keeping with our value to include diverse perspectives in consequential conversations, in addition to addressing health equity considerations throughout Alliance programming

Skills and Expertise
The program manager must be a proactive problem solver, a skilled relationship manager, and bring strong organizational and time management skills to craft multiple Alliance program deliverables simultaneously. This person will regularly liaise with high-level policy professionals, government officials, funders, and their staff, so excellent judgment, poise, and strong written and verbal communication skills are essential.

Qualifications

  • Strong commitment to the Alliance’s values and mission
  • Minimum 3-5 years relevant experience
  • Experience in event planning, execution, and management for virtual and in-person events (may include webinars; convenings; panel discussions; working groups; roundtables; coalition meetings; briefings for members of Congress; reporter/media briefings; etc.)
  • Outstanding attention to detail and organization skills
  • Commitment to diversity, equity and inclusion
  • Excellent public speaking skills and writing skills
  • Ability to occasionally work early, late, and/or on weekends as events require
  • Ability to work in a fast-paced and deadline driven environment
  • Highly adaptable and demonstrates comfort with ambiguity and ability to make decisions with incomplete information and/or changing circumstances
  • Willingness to listen to different viewpoints and experience engaging diverse stakeholders to build alignment around shared values and goals
  • Actively requests, provides, and incorporates feedback to/from supervisors and peers on work products and project management approaches
  • Excellent proficiency in Microsoft Office (Word, Excel, and PowerPoint) and Google workspace (Gmail, Google Drive, Google Docs, Google Sheets, etc.) with an openness to learn new platforms
  • Familiarity with the management of virtual events using GotoWebinar, Zoom, Eventbrite, and/or similar virtual event platforms
  • Familiarity with Monday.com, Asana, or similar project management platforms
  • Knowledge of health policy, health care systems, public health stakeholders, and federal policymaking processes, strongly preferred

Compensation

Salary $50,000-55,000, depending on experience and qualifications. Exceptionally qualified candidates will be evaluated according to levels of experience; please include your salary requirements with your application if they exceed the posted range. The Alliance for Health Policy offers an outstanding benefits package, including:
