The Hill Group, an American Indian–owned and managed business, is a well-established firm specializing in health and human services projects focusing on diabetes treatment and prevention. We are seeking a full-time Program Associate to join our team. The team member can work out of our Albuquerque, NM office, Washington, DC office or remotely.
Responsibilities and Duties:
Grant Management (40%)
· Assist the Grant Management Coordinator with managing a federal grant program with over 300 grantees.
· Utilize grantee databases and other systems and tools supporting Federal Awards to access data for research, report preparation, information requests, and other purposes.
· Assist with grantee support and general communication including:
· Reviewing and responding to questions and support requests.
· Preparing and distributing communication to grantees via email messaging service.
· Perform quality assurance for email communication, reports, and other documents, as needed.
· Grantee Training: conduct review of closed captioning for recorded training webinars and assist with tracking training data.
· Assist with routine updates to website.
· Grantee documentation and data: screen and track reports and applications submitted by grantees including annual applications and Notices of Award. Coordinate file organization and document tracking.
· Grantee database: assist with testing functionality and reporting issues to web team.
· Assist with process development and documentation.
· Co-host webinars and team meetings, as needed.
Clinical Training (30%)
· Assist the Clinical Training Coordinator in providing clinical webinar series for Continuing Medical Education/Continuing Education (CME/CE) credits.
· Provide broad tracking of all training programs including updating the training calendar with inputs from staff members.
· Perform quality assurance for email marketing, reports, and documents as needed.
· Prepare documentation of training sessions and recordings, including training attendance data, participant evaluations, and provision of training certificates.
· Assist with participant support and general communication including with review of and responses to email.
· Conduct review of closed captioning for recorded training webinars.
· Assist with routine updates to webinar webpages.
· Coordinate file organization and document tracking.
· Assist with process development and documentation.
· Co-host webinars and team meetings as needed.
Website and General (30%)
· Assist the Website Designer with maintenance and upkeep of two websites.
· Perform quality assurance for websites.
· Work with the core team to collect, organize, edit, and produce written content for the DDTP website. Maintain, revise, and update web content as needed.
· Assist with dissemination of current information, training, resources and links for clinicians and grantees through the website and the online catalog.
· Prepare and send email distributions with content provided by others.
· Assist with and co-host other meetings and trainings using Webex platform.
· Diabetes conference: Assist with development of conference website and app.
· Assist with assessing and remediating documents for 508c.
Qualifications
Required skills and proficiencies:
· Possess a bachelor’s degree.
· Must be highly organized and possess strong attention to detail, with the ability to work on multiple projects and work well in a team setting.
· Remote work experience, including use of platforms such as Microsoft Teams, Skype, Webex and others.
· Experience in grant operations and management.
· High level proficiency with Microsoft Office products, including Excel, Word, PowerPoint, and OneNote. Specific skills: Extracting data from PDF documents into Excel. Using Excel functions to summarize data. Creating graphs in Excel. Creating Word and PDF forms.
· Outstanding oral and written communication with the ability to document meetings in a succinct and accurate manner.
Preferred skills and proficiencies:
· Prior work experience supporting federal grant programs.
· Experience with cultural competency/cultural responsiveness especially regarding American Indian/Alaska Native communities. Knowledge of social, cultural, and economic factors of individuals, families, tribal communities, and organizations, as they apply to public health care in diabetes.
· Experience with Content Management System (CMS) such as MURA, Joomla, Drupal or WordPress. Plus for experience in website design.
· Webex meeting hosting and knowledge.
Job Type: Full-time
Pay: $55,000.00 - $70,000.00 per year
