Mount Sinai Doctors Long Island has been serving the surrounding communities since 1945. We began in Huntington with 3 physicians, the first board certified physicians in Suffolk County. Today we have over 75 physicians in 21 specialties who continue the Group’s tradition of quality. In 1995, the Group became part of the Mount Sinai Health System. We have access to Mount Sinai’s vast referral network and latest treatment options. In the summer of 2018 we moved from our original Huntington location into a newly constructed state-of-the-art facility at 5 Cuba Hill Road in Greenlawn. We also have offices in Nesconset.
Our new facility offers a wide range of health care providers in twenty one different specialties, on-site imaging, and lab services, all under one roof. We are proud to offer our patients the newest imaging technology including 3-D mammography, PETCT and a wide bore MRI.
We are seeking a fulltime Program Coordinator to assist our Senior Executive Director for our Greenlawn, NY location.
Job Summary
Provides front line contact for the program by answering telephones, directing and responding to callers, relaying messages to appropriate recipients.
Essential Duties and Responsibilities
- Opens, sorts and prioritizes mail. Coordinates pickup and delivery of packages, orders and other materials as required.
- Maintains Program records through filing, retrieval, retention, storage, coding, updating and destruction.
- Types routine confidential and non-confidential correspondence, memos, reports, minutes and other documents from dictation or handwritten copy. Proofreads typed materials and makes corrections, as needed.
- Schedule patient appointments, schedule referrals of special testing or doctor’s visits, and keep record of patient billing for submission as required.
- Assist in the maintenance of medical charts and/or electronic medical record (filing, Op Reports, test results, home care forms).
- Schedules and maintains calendar for meetings and/or appointments
- Responds to inquiries for information according to established policies.
- Gathers, assembles and categorizes data for general information purposes and special reports
- Process check requests and expense reimbursements as needed.
- Assist finance with outstanding invoices, POs and check request
- Assist Senior Executive Director and/or Director of Operations when needed, especially in projects with deadlines.
- Instructs patients and assist them with initiating MY chart.
- Provide support to Physician and Program leadership with appointment scheduling and meetings.
- Arrange food, minutes, sitting, send invites and handles confirmation for all meetings on site with Program leadership, Medical directors, educational meetings, and other leadership meetings.
- Manage special projects as assigned by Senior Executive Director and/or Director of Operations. Maintain Insurance, Referral or QA logs as required by program leadership. Responsible for all patients’ grievances, grievances statistics, and follow up for assigned program areas. (Takes reports discuss with Senior Executive Director and send letters to patients).
- Responsible for scheduling vendors for program areas as required. Assists with marketing initiatives.

Education Requirements
High School Required, Some college preferred
Experience Requirements
5-10 Years’ experience in a physician practice or hospital setting providing administrative support functions.
Computer Skills
- MS Office/Excel/PowerPoint - Required
- Other: Epic or other EMR systems - a Plus
General Skills and Competencies

- High level of accountability and responsibility
- Able to maintain confidentiality and deal with sensitive information

Compensation
The Mount Sinai Health System (MSHS) provides a salary range to comply with the New York City Law on Salary Transparency in Job Advertisements. The salary range for the role is $58,661.07 - $75,000.12 Annually. Actual salaries depend on a variety of factors, including experience, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
