Duke’s Department of Obstetrics and Gynecology has an immediate entry level position for a Program Coordinator working with the GME Education team.

Occupational Summary

In conjunction with the Department of OB-GYN Chair, Vice Chair of Education, Program Directors, and Program Manager, the Program Coordinator shares in the implementation and compliance of all aspects of the management and administration of Graduate Medical Education Fellowship and Resident training programs in the Department and shares responsibility for other Department education programs as necessary.

The UME Coordinator is a member of the staff of the Department of Obstetrics and Gynecology. This role will report to the OBGYN Education Program Director, Clerkship Director, Assistant Clerkship Directors and other stakeholders within the SOM and Duke Health. The UME Coordinator will provide administrative coordination and support to the faculty and students involved in a variety of activities that occur during their second year of medical school.


Work Performed

Work Performed – 2nd year support (85%)


  • Continual communication to students, lecturers, clinical sites (inpatient and outpatient),
  • attendings, residents 30 days prior, during and 30 days post clerkship, clerkships per academic year
  • Attend all student orientations
  • Room reservation management via Duke 25 Live for lectures through the year
  • Manage Duke Box for all clerkship documents, student reporting, lectures, required reading,grading, etc.
  • Maintain BlueDocs and ensuring accuracy and consistency for each rotation
  • Update and maintain software ensuring accuracy (Sakai)
  • Utilize Med Hub to send evaluations to attendings and residents
  • Update and maintain OBGYN Clerkship Handbook
  • Ensuring correct approval and access to scrub machines, badge access
  • Maintain Duke Hub by recording all evaluations, grades and prepare for the Clerkship Director to be able to write the narrative comments and final submission of grades.
  • Monitor Shelf exam grades and summaries n the NBME site and record grades in Duke Hub and report to Office of Curricular Affairs
  • Maintain reports for course directors on student placements, schedules, and grade

  • Maintain site location, grades, and MCR reports sent to Office of Curricular Affairs
  • Managing and scheduling all non-traditional track students (PA, PCLT, WHNP)
  • Managing new curriculum and keeping track throughout academic year
  • Managing 3rd year mentors
  • Assist course director of MS4, Road to residency, Bootcamp
  • Managing End of the Year clerkship evaluation, producing letters to faculty, fellows, residents, APPS
  • Tracking TA’s application and schedule
  • Assist Sub-I directors with schedule, Sakai access, and record grades in Duke Hub
  • Assist course directors with Visiting students’ applications
  • Ensuring master spreadsheet is consistently updated and accurate
  • Attend monthly CTC meetings, optional
  • Attend monthly clerkship coordinator meetings
  • Plan budget and track expenses for UME Program
  • Overseeing interest group including all reimbursement
  • Coordinate and attend annual site visits and presenting report to UME director, Clerkship Director and Vice Chair of Education
  • Continual communication with the PA program admin and leadership, updating weekly and coordinating sites and materials for students rotating in OBGYN
  • Assist with residency interview season
  • Assist Education team event, including Graduation, Research Day, Buffalo Party, etc
  • Other projects as assigned

Work Performed – Obstetrics & Gynecology Residency (10%)


  • Support OBGYN Residency Coordinators and Directors in various Residency related projects
  • Assist with weekly OBGYN Education events
  • Attend team meetings
  • Participate in staff development opportunities
  • Assist colleagues in projects as needed

Work Performed – Fellowship in Quality and Safety in Women’s Health (5%)

Minimum Qualifications


Education

Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program.


Experience


Work requires one year of experience in program administration or OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE involving academic, instructional or counseling activities to acquire skills necessary to plan, coordinate and implement a variety of program activities and events.
