Overview:

For three decades, School’s Out Washington (SOWA) has served a critical role to advance equitable expanded learning ecosystems in Washington state. We work to ensure high-quality afterschool and summer programs are available so all of Washington’s youth—and especially low-income youth and youth of color—can have the opportunities they deserve to thrive. SOWA is dedicated to building responsive community systems to support quality afterschool, youth development and summer programs for Washington’s children and youth ages 5 through young adulthood.

Position Summary: The Program Operations Manager works in coordination with SOWA’s Program Operations Associate Director to manage internal and external programmatic processes.

Reports to: Program Operations Associate Director

Location: Remote from anywhere in the King County or adjacent region, or from our Tukwila, Washington office. This position will require regular attendance at meetings and events in King and adjacent counties as well as reliable transportation to travel to and from meeting and event locations.

RESPONSIBILITIES:

Program Quality Operations

  • Manage and oversee projects of the Program Operations Team;
  • Oversee programmatic administrative procedures to enhance efficiency;
  • Communicate with other Program Quality Teams to coordinate contract deliverables;
  • Oversee maintenance of the programmatic calendar for the Quality Division, organize and coordinate meetings, correspondence, reports and expense reports;
  • Project manage OSPI’s 21st CCLC Quality subcontract with Weikart Center for Youth Program Quality, including activities and event coordination, billing invoices preparation, and providing logistics support;
  • Oversee the coordination of logistics for Program Quality trainings and other programmatic events, including pre-event planning, managing registrations, procurement of materials, arranging food, creating nametags and sign-in sheets, and other tasks as needed;
  • Manage and track services provided through the Forum for Youth Investment David P. Weikart’s Center for Program Quality Licensor Agreement;
  • Manage and oversee the development, tracking and updating of Independent Contractors contracts for the Quality Division including trainers, coaches, and external assessors.

Financial and Budgetary Management

  • Manage and maintain financial tracking for all programmatic deliverables-based contracts;
  • Communicate with Project Managers to ensure timely invoicing and accounts receivable collection;
  • Oversee payment processing of programmatic Independent Contractor invoices;
  • Forecast, manage and monitor OSPI budget;
  • Support creation and tracking of project deliverables for all Program Quality Division projects and scopes of work;
  • Work with Finance team to track all revenues and expenses related to Quality Division;
  • Review and report variances to Quality Division Financial Reports;
  • Reconcile deliverables with audits from the David P. Weikart Center for Youth Program Quality (CYPQ);
  • Conduct financial screenings prior to services being rendered to consider all financial implications.

Personnel Management

  • Provide direct supervision to assigned reports;
  • Coach and mentor direct reports to provide culturally responsive conflict resolution and problem-solving strategies;

Other Responsibilities

  • Address racism, sexism, heterosexism and other discriminatory practices, including reflecting and addressing how racism and bias may appear in the context of your work with others
  • Work toward racial equity through undoing institutional and structural racism, including active participation in organizational learning
  • Support overall office functionality and organization
  • Participate in staff and team meetings
  • Serve as an ambassador for the organization, both formally and informally
  • Perform other duties as assigned

Qualifications and competencies

  • 4+ years of work experience in nonprofit service sector, event management, or training organization; Relevant higher education may be considered in combination with work experience.
  • Knowledge of equity and social justice principles and practices and experience working toward racial equity within organizations
  • Direct knowledge and/or lived experience and connections to BIPOC communities preferred
  • Ability to work independently and as part of a collaborative team
  • Strong organizational skills
  • Ability to prioritize multiple tasks
  • Strong computer literacy skills, particularly in Microsoft Word, Publisher, Access, PowerPoint;
  • High proficiency in Excel or similar platforms and strong database skills preferred.

Hours and benefits

40 hours per week, Monday-Friday

Fair Labor Standards Act (FLSA) Classification: Exempt

Starting salary range: $59,000-$72,000, depends on experience

Eligible for full employment benefits: Benefit package includes medical, dental, vision, long-term disability, 403b retirement savings plan, and generous paid time off.
