The Project Administrator will assist in ensuring that the company receives payment for goods and services offered to clients. All while coordinating the administrative elements of assigned projects, to ensure that project documentation is thorough and accurate.

Essential Duties:

  • Prepares, posts, verifies, and records customer payments and transactions related to accounts receivable.
  • Creates invoices according to company practices; submits invoices to customers.
  • Maintains and updates customer files, including name or address changes, mergers, or mailing attentions.
  • Drafts correspondence for standard past-due accounts and collections, identifies delinquent accounts by reviewing files, and contacts delinquent accountholders to request payment.
  • Creates reports regarding the current status of customer accounts as requested.
  • Researches customer discrepancies and past-due amounts.
  • Collaborates with the Chief Financial Officer to reconcile accounts receivable on a periodic (at least bimonthly) basis.
  • Assists in generating monthly billing statements based on the general ledger.
  • Copies, files, and retrieves materials for accounts receivable as needed.
  • Relays changes of information to appropriate employees.
  • Manage project documents, including, but not limited to, bid bonds, master billing forms, preliminary notices, insurance certificates, change orders and lien releases.
  • Coordinate owner contracts and change orders.
  • Coordinate subcontracts, subcontractor billings, and change orders.
  • Track and log subcontractors' procedural compliance.
  • Assist in the review/processing of submittals, RFI’s and change estimates.
  • Prepare/distribute project and team overviews.
  • Review insurance certificates for compliance.
  • Prepare/distribute applications for payment.
  • Prepare closeout documentation.

Required Skills/Abilities:

  • Proficient with Foundation or similar Accounting software preferred.
  • Experience using Textura and GC Pay preferred.
  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Ability to work independently and in a fast-paced environment.
  • Ability to anticipate work needs and interact professionally with customers.
  • Proficient with Microsoft Office Suite or related software.

Education/Experience:

  • Business or Accounting degree or at least two years of related experience in construction industry required.

Pay: $22.00 - $30.00 per hour
