Job description
Provides project management for E&W and EMBA CMC operations program/project across 3 discrete campus locations: recommending goals, assessing feasibility and ongoing performance & providing day-to-day oversight of administrative & operational functions.
Develops and lead multifaceted projects. Responsible for planning, overseeing, budgeting, documenting, and reporting all aspects of projects. Specifically, manages administrative processes and prioritizes, directs, and responds to business matters involving administrative functions associated with education and/or operations.
Specific Responsibilities:
Administration
- Manages day to day operations of E&W and EMBA CMC team.
- Owns end-to-end project support for the E&W On-Campus Recruiting (OCR) Process.
- Manages supervisor's and department calendar.
- Manages E&W and EMBA email inboxes.
- Ensures all online calendars are updated.
- Independently responds to and composes correspondence.
- Ensures that program/project mission, values, guidelines, policies & procedures are implemented & maintained.
- Develops guidelines, policies & procedures ensuring they are implemented & maintained.
- Manages design and development of program databases; compiles & analyzes data; prepares reports.
- Prepares queries, reports, statistics, tables, charts, etc. based on information compiled from various sources.
- Reviews processes and recommends changes to incorporate state-of-the-art technology as appropriate into administrative, recruitment, marketing, and educational components.
- Key lead on managing and executing VMock, a comprehensive Artificial Intelligence tool, for E&W and EMBA students.
- Identifies service improvement opportunities that will better enable program/project to achieve its goals and objectives.
- Develop and lead multifaceted projects throughout all phases of the project life cycle for multiple projects simultaneously.
- Plan, schedule and track project timelines and milestones to ensure project progress is on schedule.
- Work with multiple stakeholders to ensure that project objectives are achieved within established timeframes.
- Acts as liaison to IT to ensure technology systems are properly installed & maintained.
Budgets & Financial
- Participates in budget preparation.
- Maintains/supports budget & associated analysis & reports.
- Enters individual &/or summary of transactions into journals &/or general ledger or other NU enterprise system.
Data Evaluation
- Observes program sessions and interacts with participants for purpose of gaining consumer insight, growing and strengthening program knowledge, and optimizing client satisfaction.
- Point person on the running of and analysis of data reports from CMS.
- Coordinates the collection, analysis & reporting of required information from including but not limited to website analytics and surveys for external-MBA CSEA and internal review documents.
- Collect data and create reports on coaching and workshops. Create and distribute event invitation and create Qualtrics surveys.
- Analyzes evaluation data from students, and participants, etc. to assist in program/project development and updates.
- Create and maintain feedback survey data and create monthly/quarterly reports for both EMBA and E&W programs.
- Creates and maintains standard spreadsheets and/or databases.
- Implements corrective actions required as a result of surveys or other indicators.
Events
- Coordinates programming and liaise with internal and external departments to plan, resolve issues, and ensure the success of events.
- Key lead in finding program venues, caterers and providing logistical support for events. Serve as the “lead” for several tasks including negotiating contracts and planning events. Coordinate room reservations AV, catering, room set up and answer questions from registrants via email and phone. Review invoices after sessions to ensure accurate room and food/beverage charges. Manage final invoices for payment processing.
- Manage the invitation, registration, and posting and notification process for all programming. This requires posting events through multiple online web portals – setting up online registration, managing payment collections, and reconciling online payments.
- Support Employer Relations for corporate events and speakers.
- Coordinate webinars, working closely with Kellogg Information Systems.
- Coordinate and liaise with internal and external departments to plan, resolve issues, and ensure the success of events.
- Owns events on Kellogg Groups and linkage to CMS ensuring consistency across platforms.
- Develops plans and arranges workshops, events, etc. for E&W and EMBA students
- Ensures that event details including communication, venues, presenters, travel arrangements, materials, refreshments, and technology are arranged and completed in an appropriate and timely manner.
Program Development
- Manages program seminars, presentations, and workshops, learning experiences, websites, etc. based on goals/objectives.
- Reviews programs/projects to increase efficiencies to support growth.
- Assists in speaker selection, communication, and topic development.
- Leads program/project updates and improvements.
Student Support
- Primary CMC contact for E&W and EMBA students; Responds to inquiries, Screens, and prioritizes incoming requests via multiple channels.
- Completes program/project logistical details such as scheduling, curriculum, facilities, technology, registration, enrollment, audits, etc.
- Implements strategy regarding structure, process, & staff support of students in compliance with NU policy.
- Provides basic interpretation of policies and procedures.
- Resolves administrative issues (RAS forms, stipends, monitors fellowships, etc.)
- Researches information to resolve problems or issues.
Miscellaneous
- Performs other duties as assigned.
Minimum Qualifications:
- Successful completion of a full 4-year course of study in an accredited college or university leading to a bachelor's or higher degree; OR appropriate combination of education and experience.
- 1-year program/project administration or other relevant experience.

Preferred Qualifications:
- A master's degree or the equivalent combination of education, training and experience from which comparable skills can be acquired.
- 5 years of administrative support or other relevant experience.
- Prior experience in a Higher Education or fast-paced, private sector
Preferred Competencies: (Skills, knowledge, and abilities)
- Skilled in managing multiple internal and external databases including CMS, Canvas, Smartsheet, and Google Docs as well as others.
- Ability to work independently yet proactively collaborate with internal and external stakeholders
