Essential Duties and Responsibilities:

The Project Coordinator supports the project management team, field/jobsite personnel and office staff by performing contract administration support, document control, change order processes, and subcontract work agreement preparation. The Project Coordinator understands project policies and procedures and assists in quality control to ensure the integrity of the project.

1. Type and proofread proposals, change orders, subcontractor work agreements, master agreements, AIA contracts, and other correspondence

2. Manage subcontractor compliance to include onboarding new subcontractors and distribute Subcontract Information Questionnaire to new subcontractors

3. Fulfill Certificate of Insurance requirements

4. Generate and upload Master Subcontract Agreements for signatures through DocuSign

5. Manage effective document control mechanisms for the project to ensure work is performed in accordance with contract documents

6. Assist project team in the change management process, including setting up Schedule of Values (SOV) and billing analysis workbook

7. Assist PM/PE in uploading and maintain various documents in web-based portals

8. Complete project close-out requirements in accordance with contract documents

9. Assist Project Managers and Superintendents in the collection, evaluation, and approval of subcontractor invoices, and prepare contractor application for payment. Track and collect payment lien releases

10. May order office supplies and materials as needed

11. Perform other duties as required or assigned

Education and/or Work Experience Requirements:

1. High school graduation or equivalent (GED), college level course work preferred; minimum of 3 years’ experience supporting project managers in commercial construction projects, or an equivalent combination of education and experience

2. Proficient in utilization of Microsoft Office Suite

3. Previous experience using Timberline Sage & ProCore software, in a paperless environment, preferred

4. Experience using DocuSign to securely send and obtain signed agreements

5. Excellent verbal and written communication, interpersonal and customer service skills

6. Willingness to change, adapt and grow with the position

7. Technically inclined with keen ability to learn new business software

8. Excellent organization skills, attention to detail and accuracy of work

9. Ability to work in a fast-paced environment, prioritize workload and meet strict deadlines

10. Ability to establish and maintain effective working relationships with managers, co-workers, clients, and subcontractors

11. Ability to work both independently and collaboratively; willingness to be flexible and adaptable to changing priorities

12. Ability to read and understand technical drawings and blueprints

Physical Requirements:

1. Ability to safely and successfully perform the essential job functions, with or without reasonable accommodation consistent with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards.

2. Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards

3. Prolonged periods of sitting at a desk and working on a computer

4. Frequent use of hands, rotation of wrists and finger dexterity for computer keyboard; moderate reaching, grasping, pushing/pulling file drawers of 10 – 50 pounds

5. Infrequent kneeling, bending or twisting upper body; lifting 10-20 pounds

Job Type: Full-time

Pay: $60,000.00 - $100,000.00 per year
