Scheduled Hours: Monday through Friday, 7:30 am - 3:30 pm.
Summary/Objective:
Works with all departments to advance ArcGNO's mission by serving as the first point of contact for various stakeholders and by contributing to the efficiency, effectiveness and productivity of the front office and entire agency.
Essential Job Functions / Responsibilities:
- Greets all people arriving at Fontana; screens all calls, troubleshoots if possible, and directs them accordingly, when appropriate.
- Checks In/Out all crew members in the morning and at close of business; keeps track of crew attendance; turns in crew member timesheets for processing of payroll.
- Maintains copy room, including paper stock, recycle bin, copier ink, and setup of individual mailboxes.
- Maintains conference room reservation calendar.
- Supervises and serves as Direct Service Professional for supported employment participants assigned to administrative support tasks.
- Receives and sends out mail; maintains Neopost machine; distributes mail accordingly.
- Helps keep front office and storage closet organized.
- Assists Office Manager by processing orders of staff and client ArcGNO apparel.
- Assists Office Manager by placing orders for Letterhead, Envelopes, Business Cards, and notecards.
- Assists Office Manager in troubleshooting and serving as liaison for IT, telephone, copier, and cable providers.
- Assists Office Manager by placing orders for office supplies and keeping supplies stocked.
- Keeps inventory of all original documents needed across agency.
- Assists Office Manager in keeping coffee supplies stocked; maintains coffee supply throughout the day; preps coffee at end of day for morning.
- Assists HR as requested, including monthly background checks and filing.
- Provides backup for Mardi Gras Recycling Center.
- Performs other non-specified duties.
High School Diploma or Bachelor’s preferred.- Computer literate in Word, Word Perfect, Excel, and database programs. Knowledge of WordPress and Google applications.
- Can follow established office procedures & perform needed secretarial & office procedures efficiently.
- Is pleasant, cooperative, professional & works well with others of various backgrounds.
- Protects confidentiality of clients, parents/advocates, staff, and departmental affairs.
- Ability to attain and maintain the status of Direct Service Professional
- Covid-19 Vaccination required.
- Must be able to attend 8 hours Orientation at ArcGNO.
