The Sales Training Admin Leader will be responsible for planning, coordinating, and executing national, regional, and local learning experiences. The ideal candidate will provide logistical, administrative, and event support for all learning experiences and associated workshops, seeking ways to increase the effectiveness of sales training programs and creating efficiencies while reducing costs. Additionally, this position will be responsible for coordinating all aspects of events and meetings, ensuring successful execution and high-quality experiences.
Principal Duties and Responsibilities
  • Manage the department's training calendar, ensuring it is regularly updated and distribute it to relevant stakeholders, including the local leadership team. Collaborate with other departments and teams to ensure that the training calendar aligns with broader organizational goals and initiatives, continuously evaluating and improving it to meet the needs of the department and organization.
  • Develop and manage timelines and project plans for events, meetings, and workshops.
  • Coordinate all aspects of events, including selecting and securing event locations, managing vendors, assisting with negotiating contracts, creating and managing registration and invitation links, and building event websites using Cvent or WebEx Events.
  • Work cross-functionally to coordinate/obtain guest speakers (i.e., surgeons) at learning experiences and handle logistics.
  • Manage event logistics, including pre/post-event communication, printing, shipping, ordering of supplies, catering, audiovisual equipment, transportation etc. Ensure timely and accurate communication of event details to all stakeholders.
  • Manage event budgets and expenses, including processing payments (POs) and expense reports.
  • Track event attendance and performance metrics and provide reports on effectiveness.
  • Manage event feedback and survey results and assist in making recommendations for improvement. Attend post-event debrief meetings and document lessons learned.
  • Coordinate and support virtual learning experiences via WebEx/WebEx events.
  • Assist in routing learning materials through an internal review process and report on status weekly.
Expected Areas of Competence
  • Demonstrated ability to problem-solve complex situations with multiple stakeholders while adhering to critical timelines.
  • Strong negotiation and excellent communication skills, both verbal and written. Must be able to effectively communicate with all levels of management both internally and externally.
  • Proven experience as an event planner or organizer or proven ability to plan and execute the event within the designated timeline, such as meeting deadlines for marketing, booking venues, and preparing materials.
  • Excellent organizational and time-management skills with ability to manage multiple projects and deadlines concurrently.
  • Possess strong attention to detail, anticipates potential problems and troubleshoots accordingly
  • Budget management skills and ability to maximize resources
  • Ability to work well under pressure in a fast-paced environment
  • Knowledge of current event industry trends and best practices
  • Ability to quickly learn software.
  • Ability to set up and troubleshoot A/V equipment and various power equipment (e.g., sawbones equipment for workshops).
  • Must be able to transport up to 40 lbs when in the office and at events.
Education/Experience Requirements
  • An undergraduate college degree is preferred; a combination of education and experience will be considered.
  • Knowledge of event management software and tools (Cvent, Teams etc.)
Travel Requirements
  • Up to 35%
