The Scheduling/Intake Assistant is responsible for providing services that support multiple functions in the Scheduling and Intake Departments. The Scheduling/Intake Assistant will be in charge of the organization's schedules at the Behavior Technician level, Updating client/employee location and status, time adjustments, and authorization. The Scheduling/Intake Assistant will streamline communication to all departments and parties, where necessary. This position plays a key role in the organization's success by providing exceptional Customer Service to clients and employees. This position also engages with our clients and caregivers to discuss session inquiries and escalate concerns, if applicable. This position will require the support of the intake process; our clients' eligibility; communication with our clients; and ongoing follow-up. The scheduling/intake Assistant will also ensure culture charm within the office and client spaces.
WHAT YOU’LL DO
- Answer scheduling-related phone calls by Clinical Team and/or Client Caregivers, proving elevated customer service
- On-going, daily monitoring of the Scheduling Department Email
- Responsible for the organization of the Scheduling Department tasklist, while designating emails to their correct tabs, to include the date and comment notations
- Manage cancellations, make-ups, and reschedules upon update receipt by the client or the clinical team
- Responsible for case-coverage efforts of cancellations and/or time off approvals by employees
- Submit correspondence of any changes to sessions to all involved parties for effective streamlining of communication
- Responsible for corrections of timesheet adjustment requests, including mileage and drive time
- Conduct drive time and meal break audits for employees with 2+ sessions on caseload and/or 30+ mile variance
- Follow-up on make-up sessions, following cancellation requests; scheduling appts as required
- Reviewing Client authorizations and updating Client recurring calendars accordingly
- Responsible for all documentation re: communication and client changes via CentralReach client's portal
- Streamlining communication to the Scheduling Coordinator regarding staffing changes/updates and needs
- All other tasks assigned by the Scheduling Coordinator/Manager
- Greet clients and/or Employees that come into the office for Intake Reviews, Assessments, and/or Scheduled appointments
- Ensure the cultural charm of the office is well-kept including restocking of intake materials and cleanliness of open spaces
- Conduct insurance eligibility of clients in efforts to ensure they are billable at the time services occur (Weekly)
- Manage and conduct audits of company Client MAPS for the current service regions (Daily)
- Prepare and send out all correspondence relating to No Contacts, Terminations, and Marketing outreach.
- Prepare materials to include welcome packets and client reports for Intake Review meetings
- Misc. administrative tasks may be assigned, as needed by the Consumer Relations Coordinator and/or Intake Manager
WHAT WE’D LIKE YOU TO HAVE
- 1-year experience in a related field (required)
Education Requirements:
- High School Diploma or GED (required)
- An Associate's degree in Business Administration or related field (preferred)

Physical Requirements
While performing the duties of this job, the employee is regularly required to sit, talk, use repetitive motions, type, and hear. The employee is frequently required to stand, walk, use hands and fingers to handle and feel, and reach with hands and arms. The employee is occasionally required to bend, kneel, crouch, climb stairs, and reach overhead. The employee must occasionally lift and/or move up to 20 pounds.
