Senior Administrative Assistant - HR
Purpose Statement
The job of Senior Administrative Assistant - HR is done for the purpose/s of providing a wide variety of complex and confidential administrative and secretarial support to Human Resources Director; conveying information regarding department functions and procedures; ensuring efficient operation of support functions; and coordinating assigned projects and site activities related to the Human Resources.

This job reports to Human Resources Director.
Essential Functions
Assists in coordination of various Human Resources events and programs (e.g. job fairs, wellness program, software implementation, etc.) for the purpose of ensuring successful outcomes.
Collaborates with Human Resources team to accomplish the various personnel functions (e.g. recruiting, hiring, termination processes; benefits management; worker's compensation, FMLA, ADA programs; payroll, leave data; manage certificated, classified, coaching and substitute staff records; maintaining manual and electronic documentation; fulfilling reporting requirements, etc.) for the purpose of maintaining services and programs and ensuring legal compliance with all local, state and federal laws, rules and regulations.
Coordinates substitutes and the substitute management system (e.g. processing new hire documentation, coordinating training, maintaining management system data, compiling and preparing substitute assignment materials, etc.) for the purpose of ensuring accurate documentation, appropriate placement and fulfillment of requests for substitutes.
Maintains a wide variety of manual and electronic documents, files, records, and all classified and certificated employee personnel files (e.g. employee records, leave records, reports, etc.) for the purpose of ensuring legal compliance; providing up-to-date information and/or historical reference in accordance with established administrative guidelines and legal requirements.
Participates in a variety of meetings, workshops, and/or trainings for the purpose of providing or receiving information, recording minutes, and supporting the needs of the attendees.
Performs a variety of clerical duties (e.g. composing email, letters, memorandums, requisitions, agendas, reports; screening calls, mail and visitors; maintaining the HR appointment and Director's calendars, etc.) for the purpose of supporting the functions of the work unit.
Prepares a wide variety of reports, documents and correspondence of a confidential and non-confidential nature according to established procedures and timelines for the purpose of documenting activities, providing written reference, and/or conveying information.
Processes new hire information (e.g. securing paperwork, creating personnel files, entering data into
Human Resources Information System, scheduling orientation, etc.) for the purpose of documenting personnel records in compliance with administrative guidelines and/or regulatory requirements.
Procures supplies and materials for the purpose of maintaining availability of required items.
Researches a variety of topics (e.g. current practices, policies, education codes, employment law, etc.) for the purpose of providing information and/or recommendations that address a variety of administrative requirements.

Responds to a wide variety of inquiries from internal and external parties (e.g. staff, parents, students, public agencies, etc.) for the purpose of providing information, facilitating communication among parties and/or providing appropriate referral.
Serves as a resource to employees regarding personnel functions (e.g. department/program policies, practices, procedures, etc.) for the purpose of orienting new personnel and/or disseminating information to existing personnel.
Supports the work of the Human Resources department as needed (e.g. applicant screening, recruitment process, schedule applicant interviews, applicant testing, etc.) for the purpose of assisting in the timely completion of the work of the department.
Other Functions
Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.

Skills, Knowledge and Abilities
SKILLS are required to perform multiple tasks with a potential need to upgrade skills in order to meet changing job conditions. Specific skill based competencies required to satisfactorily perform the functions of the job include: operating standard office equipment including using job related software applications; understanding of relational database programs; preparing and maintaining accurate records; and planning and managing projects.
KNOWLEDGE is required to perform basic math, including calculations using fractions, percents, and/or ratios; read technical information, compose a variety of documents, and/or facilitate group discussions; and understand complex, multi-step written and oral instructions. Specific knowledge based competencies required to satisfactorily perform the functions of the job include: pertinent codes/laws/rules/regulations/policies; personnel management concepts; business telephone etiquette; common office machines; concepts of grammar and punctuation; and office methods and practices.
ABILITY is required to schedule activities, meetings, and/or events; gather, collate, and/or classify data; and use job- related equipment. Flexibility is required to work with others in a variety of circumstances; work with data utilizing defined but different processes; and operate equipment using standardized methods. Ability is also required to work with a significant diversity of individuals and/or groups; work with a variety of data; and utilize job-related equipment.
Problem solving is required to analyze issues and create action plans. Problem solving with data requires independent interpretation of guidelines; and problem solving with equipment is limited to moderate. Specific ability based competencies required to satisfactorily perform the functions of the job include: adapting to changing work priorities; communicating with diverse groups; maintaining confidentiality; meeting deadlines and schedules; setting priorities; working as part of a team; and working with frequent interruptions.
Responsibility
Responsibilities include: working under direct supervision using standardized routines; leading, guiding, and/or coordinating others; operating within a defined budget. Utilization of some resources from other work units is often required to perform the job's functions. There is some opportunity to affect the organization’s services.
Work Environment
The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling, some stooping, kneeling, crouching, and/or crawling and significant fine finger dexterity. Generally the job requires 90% sitting, 3% walking, 7% standing. This job is performed in a generally clean and healthy environment.
Experience: Job related experience with increasing levels of responsibility is desired.
Education: High school diploma or equivalent. Higher Education preferred.
