Job description
Hiring Department
- Provides specialized business support for the Office of Development, as well as back-up for the Office of the Vice Chancellor
- Assists the Assistant Vice Chancellor for University Advancement with tasks related to travel, meeting arrangements, event planning, fundraising, expense reports, and HR
- Manages office, office billing, internal policies and procedures, maintenance requests, etc.
- Manages a team of two and supports the development leadership team
- Monitors monthly payroll ensuring employees are paid promptly and accurately
- Leads HR functions for department (facilitates recruiting process, initiates new hire paperwork, develops onboarding and exiting processes, applicant screening, interviews, and paperwork processing)
- Plans and coordinates events for top corporate donors
- Anticipates office needs and develops and implements solutions when unanticipated challenges occur
- Generates monthly reports by gathering and calculating data from multiple sources and provides final product to the Vice Chancellor and Assistant Vice Chancellor for their use
- Reviews and approves expense reports, purchasing requests, and vouchers for the Office of Development
- Oversees account reconciliation for expense reports
- Creates briefing Materials for Campus Leadership
Minimum Qualifications
A Bachelor's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary.
Preferred Qualifications
- Ability to handle highly sensitive information and maintain confidentiality
- Outstanding written and verbal communication skills with ability to maintain welcoming demeanor in all situations
- Experience interacting with campus alumni and guests who frequent the office
- Supervisory experience is preferred
- Budgetary experience is preferred
