Coordinate and provide administrative support within all facets of the Grassroots Advocacy program including – but not limited to: execution of campaigns, event production, new advocate recruitment, social media engagement, regional relations, use of technology, CRM entry, National Diabetes Awareness Month (NDAM), National Volunteer Appreciation Week (NVAW), the Youth Advocacy Leaders Program (YAL), the Advocates in Action Council (AAC), etc.
The Senior Coordinator will work closely in support of and collaboration with the Senior Director and Senior Manager of Grassroots Advocacy in carrying out these responsibilities. This person will be thoroughly trained to understand our mission, department activities and goals, operations, policies, and procedures to perform all duties.
RESPONSIBILITIES:
  • Assist in Advocacy’s daily operations, projects, and tasks in collaboration with the Legislative, Health Policy, and Regulatory Affairs teams.
  • Prepare materials, generate reports, update websites, and coordinate meetings and trainings in support of our events and campaigns (Government Day, Children’s Congress, Promise to Remember Me Campaign, and New Member Outreach Initiative).
  • Lead all ‘Advocacy at Events’ efforts, collaborating with colleagues to evaluate new advocate capture / workflow ahead of our peak seasons (Fall & Spring) to ensure process improvement and data integrity. (Partner with Technology and MarCom as needed.)
  • Draft, edit, and mail advocate recruitment materials for One Walks, TypeOneNation Summits, Galas, Ride, and other related events.
  • Manage assigned regions, communicating and partnering regularly with Chapter staff and volunteer leaders to ensure they are supported throughout our campaigns and new advocate recruitment efforts.
  • Support volunteer leaders within our software platforms, including the Advocacy Portal (ADP), MyJDRF, campaign websites, and all other tools and resources available to them as needed.
  • Disseminate timely updates and activations to Chapter EDs and volunteer leaders, and provide feedback on activation needs / results to Chapter EDs, volunteer leaders, and members of the Advocacy team as requested.
  • Manage information requests related to activations, campaigns, and events within all of our shared Outlook inboxes. Address all stakeholder inquiries, issues, and needs in a prompt and courteous manner, within 24-48 hours.
  • Update, develop, and edit Power Point presentations, Excel spreadsheets, and Word documents for the Advocacy staff as needed, adhering to our brand standards.
  • Alternate leading our monthly Advocacy Team Chair (ATC) calls, including setting up and circulating the Zoom details, reminding attendees, circulating slide decks for the Advocacy team to edit, advancing slides during the call, facilitating the agenda, managing the chat, taking attendance, and sending follow-up materials.
  • Adhere to accurate record-keeping within our organization-wide Salesforce CRM system and Advocacy-specific databases (including the Advocacy Data Portal), written records, and filing systems.
  • Conduct regular QA testing within our websites and platforms to ensure positive user experience and data accuracy.
  • Oversee the Youth Advocacy Leader (YAL) program and support the Advocates in Action Council (AAC) to develop our pipeline of grassroots leaders.
  • Lead National Diabetes Awareness Month (NDAM) and National Volunteer Appreciation Week (NVAW) activities on behalf of Advocacy – including managing content sourcing, crafting / posting social media content, and executing creative volunteer recognition, etc.
  • Support all social media platforms for @JDRFAdvocacy, collaborating with our MarCom team and other key colleagues in Advocacy regarding content, strategy, and timing.
  • Manage interns hired to support the Grassroots team (typically brought on every other year, in the lead up to Children’s Congress).
  • Perform other duties related to clerical and administrative assignments as assigned by supervisor.
QUALIFICATIONS:
EDUCATION:
Bachelor’s degree preferred.

YEARS OF EXPERIENCE:
2+ years of office experience preferred.

KNOWLEDGE:
  • Knowledge of basic clerical procedures and file management and proficiency in the entire Microsoft Office suite (Word, Excel, PowerPoint, Forms).
  • Experience using Word Press and Salesforce or another CRM system
  • Confident leading administrative procedures – coordinating people and resources, scheduling meetings, producing events, etc.
  • Familiarity with principles and tactics of digital advocacy and social media including Twitter, Instagram, Facebook, YouTube, TikTok, LinkedIn, etc.

SPECIAL REQUIREMENTS:
  • Excellent oral and written communication skills, and keen attention to detail.
  • Tech savvy.
  • Ability to actively listen with an inquisitive mind, anticipate the needs of the team, and call upon creative problem-solving skills when needed.
  • Highly efficient in time management – ability to multi-task and prioritize tasks in a fast-paced and deadline-meeting environment.
  • Flexible to tackle new individual or group projects, and to produce strong work ready for a sophisticated national audience.
  • Agility to confidently interface with all levels of our staff and volunteer network, and to pivot quickly when needed.
  • Commitment to building and maintaining strong relationships.
  • Strong interest in digital coalition-building, grassroots advocacy, and in the Federal legislative and health policy processes in general.
  • Must be present in the DC Advocacy office 2 days per week, and more frequently in the lead up to events.
  • Some evening and weekend work required during campaign peaks.
Target Salary: $55-65k
