Description:
As Senior Director for Academic Projects and Infrastructure, advances the priorities of the Provost/EVP, Academic Affairs and the Office of the Provost (OOTP) that are related to academic infrastructure and initiatives by successfully overseeing entire project life cycles, from initial planning to final delivery, ensuring that projects and initiatives are moving forward and/or completed to the required standards of quality.
Reports jointly to the Senior Vice Provost of Academic Affairs and the Senior Vice Provost of Strategic Finance and Resource Planning.
JOB DESCRIPTION:
- Directs a team of project portfolio managers and directors, providing clear direction regarding priorities and ensuring all team members are collaborative.
- Assigns projects based on prioritization from the provost and leadership team and individual team member skills and interests.
- Ensuring deadlines and deliverables are met and established procedures and guidelines are followed.
- In close collaboration with the Provost, Senior Vice Provosts, AVPEOS, and AVP for Academic Communications, manages major initiatives and projects (the portfolio) stemming from the Office of the Provost.
- Recommends and implements project work plans for portfolio priorities that will make the biggest and most influential impact toward realizing the aspirations of the university's One Emory strategic framework.
- Manages and coordinates a variety of special projects and administrative activities involved in academic planning, strategic resource planning, analysis, service development and operations.
- Directs and coordinates projects that are interdisciplinary in nature or involve multiple schools/divisions that report to the Office of the Provost; consults with all levels of administration, staff, faculty, and outside organizations to coordinate business, accomplish directives and facilitate the resolution of problems.
- Provides administrative coordination and leadership of special projects for the senior leaders of the Office of the Provost focused on guiding resource utilization issues and coordinating (when appropriate) other highly sensitive operational issues/topics.
- In collaboration with the leaders of the Office of the Provost, ensures planning for key projects include tracking, monitoring and following the progress of projects, action items, and strategies that emanate from administrative leadership groups; developing memorandums and correspondence, and collecting, preparing and distributing briefing materials.
- Creates and maintains appropriate feedback loops, reporting regularly to Office of the Provost leadership regarding status and timeline, keeping everyone informed of next steps and deadlines.
- Ensures leaders are prepared to report on portfolio activities to key campus partners, including the Office of the President and BOT, OOTP units and departments, EVPBA units and departments, faculty, staff, student, alumni, and parent groups (as appropriate), and Emory University Communications & Marketing; develops materials for communicating project status and updates including slides for presentation and written reports.
- Participates on project teams as needed.
- Develops training or operational materials for new tools, processes, policies, protocols, etc.
- Generates operational reports as necessary.
- Develops and manages project budgets, ensuring that projects are completed within budget constraints.
- Advocates for the priorities of the Provost and OOTP leadership in all project engagement activities.
- Manages project risk, identifies and tracks potential project risks and recommends mitigations.
- Performs related responsibilities as required.
MINIMUM QUALIFICATIONS:
- Bachelor's degree and eight years of project or program related work experience, which includes management experience.
- Master's degree preferred.
- Higher education experience with an understanding of a university structure preferred.
- A strong professional presence and comportment as well as fluency in the formal relationships and communication that are typical in higher education.
NOTE: Position tasks are generally required to be performed in-person at an Emory University location. Remote work from home day options may be granted at department discretion. Emory reserves the right to change remote work status with notice to employee.
