The Office of the Registrar has an exciting opportunity for a Registrar Services Coordinator (Coordinator, Records & Registration). The Office of the Registrar is the steward of the academic records for our students and alumni. This Office produces transcripts and degree/enrollment verifications for students and alumni, administers the residency policy, oversees campus-wide registration and grading, produces and distributes diplomas.


The Registrar Services Coordinator is responsible for the classification of applicants and student for admission and tuition purposes at the University of Maryland, Baltimore (UMB). These primary responsibilities include but are not limited to the review of applications and petitions pertaining to residency classification, and managing the processes and procedures for the classification of applicants and students in accordance to the University System of Maryland’s policy on student classification for admission and tuition purposes.

Essential Functions

  • Serves as the steward of the academic records for students and alumni of the Office of the Registrar.
  • Provides administrative oversight and coordination of the registration and records operations for the Office of the Registrar.
  • Maintains a secure student information system for academic records used in admissions, registration and mandated reporting functions ensuring the confidentiality and accuracy for students and compliance with all regulations and requirements.
  • Guides prospective and current students through course registration and management of student academic records. Ensures students have appropriate information needed to make informed decisions regarding course registration, change of schedule, course withdraw, intent to graduate, and transcripts requests. Each request is processed sensitively, accurately, and according to school policy by monitoring the processing of such changes, proposing changes to policy when needed, and communicating such changes within the school.
  • Serves as the Campus Classification Officer (CCO) and makes residency determinations in an accurate and consistent, prompt, and efficient manner in accordance with all UMB and University System of Maryland (USM) policies.
  • Reviews initial applications for in-state residency and petitions for in-state classification.
  • Manages all communication with prospective applicants, students, faculty, staff, and parents related to the policy and requirements in accordance with all UMB and University System of Maryland (USM) policies.
  • Represents UMB in USM residency workgroups.
  • Ensures compliance with UMB, USM, and State of Maryland retention policies for residency documentation and provides recommendation to improve records management.
  • Performs other related duties as assigned.
Qualifications


Education:
Bachelor’s degree, preferably in a related field of study.
Experience: Three (3) years of experience in academic records and registration. Experience working with complex data systems required. Knowledge of both the technical and operational aspects of systems used by the Office of the Registrar required. Experience working in a higher education setting preferred. Prior Banner experience preferred. Experience working in a registrar’s office or similar setting preferred. Prior experience with the interpretation and application of USM’s policy on Student Classification for Admission and Tuition Purposes is preferred.
Other: Related experience may be substituted for education. Clery act designated job as campus security authorities (CSA) member and will comply with Clery Act requirements.

  • Must be detail-oriented, have excellent customer service skills, and be dedicated to providing consistent, high-quality service to meet operational needs.
  • Ability to manage multiple activities, deadlines, and maintain optimum productivity. Demonstrate a high degree of self-motivation, personal and professional skills, which are needed to interact with customers and co-workers in a professional and courteous manner.
  • Excellent communication (in-person, telephone, and writing) and interpersonal skills are required to interact with various on- and off-campus populations including: students, Student Accounting, University Student Financial Assistance, campus programs, etc.
  • Demonstrated sensitivity and discretion in handling matters affecting students, parents, faculty, advisors, administrators, and community members. Ability to maintain confidentiality of subjects and information obtained, and be able to perform duties of the position in compliance with all requirements, regulations and laws, especially the Family Educational Rights and Privacy Act (FERPA).
  • Ability to analyze programs and services to develop recommendations for improvements or enhancements at the micro and macro level.
  • Possess knowledge of, and ability to interpret and apply USM’s policy on Student Classification for Admission and Tuition purposes preferred.


The Hiring Range for this position is in the $50,000’s, commensurate with education and experience.
