Reporting to a Sr. Leader, this position assists in developing, implementing and supporting programs to further the JHHS mission. The main responsibilities include managing and coordinating a variety of department projects, activities, reports, schedules, contract agreements and data management. The position will be responsible for processing financial transactions, including vendor invoices, purchase requests and travel expense reimbursements for the department. This role will also develop office procedures to ensure efficient and timely operations and provide direction on work processes for junior office staff members.

Incumbent will manage all calendars, prioritize multiple issues, and holds responsibility for successful follow-through; will resolve issues by using admin guidelines, policies and procedures; plan and coordinate special events, especially required for Strategic Workforce Development Youth program, Levi Mentoring Program and the Executive Leadership Development program; handle all dynamic meeting requests, correspondence for executives; provide fiscal administrative support through preparing/processing travel and other expense authorizations/reimbursements.

Education:

Two years college or business school, or 4 years of equivalent experience (in addition to the minimum 3 years required experience). Bachelor’s degree preferred.

Work Experience

Minimum 6 years of experience in health care administration, office management or customer service experience.


Comprehensive understanding of departmental and hospital policies and procedures, budget verification and analysis, spreadsheets and database management.

Experience with completing and interpreting statistical, budget and financial reports.


Demonstrated ability to exercise good judgment in handling sensitive and confidential information and situations.

Demonstrated proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint)

Strong project management and analytical ability to gather data, analyze budget reports, generate monthly reports and interpret department policies and procedures.

Strong oral and written communication skills necessary to interact diplomatically with diverse groups of people, exchange information and produce written correspondence.

Ability to maintain composure in high stress situations; handling multiple demands and demonstrating flexibility in adapting to changing conditions.

SAP experience preferred.
