Represents University Facilities as the first point of contact for customer support and communication. Extracts all pertinent information needed to initiate the workflow process and enters this data into our work order management system. Supports operational workflow between multiple departments within University Facilities. Other duties as assigned.

JOB DUTIES:


40% - Essential - Information Systems Management:
Utilizes the work order management system by entering all maintenance and operational requests/phases based on the information extracted from both campus customers and University Facilities employees. Determines party financially responsible and establishes the priority level dictating the response/completion time of each request.

40% - Essential - Customer Service and Communication:
Maintains a customer focused work atmosphere at all times. Fields customer inquiry calls/emails and connects them with the appropriate Facilities staff member to expedite a resolution while minimizing customer impact. Directs customers to appropriate departments outside of Facilities as needed.
Promptly communicates work requests directly to Shop Managers in situations with the highest levels of priority. Appropriately assigns and communicates workflow to multiple Departments within Facilities.

10% - Essential - Key Storage and Compliance:
Supports the Access Management Process by maintaining digital logs of all authorized persons signing in/out keys and badges from the Facilities Key Cabinet containing Master Keys to all campus buildings. Ensures compliance with CU and Univ. Facilities' Key Policies. Monitors key/badge return delinquencies and contacts responsible parties immediately.

5% - Essential - AiM System:
Ensures accuracy of data within the AiM work order management system. Identifies system errors and reports all problems to Network Administrator(s). Develops and executes queries within AiM based on the specific needs provided by users. Compiles and creates reports to clearly display data as requested.

5% - Essential - Records Management:
Performs Quarterly audit of all Facilities physical and digital key systems along with Vendor Check out systems. To ensure all keys/Access badges are accounted for and reports any discrepancies to management.

MINIMUM REQUIREMENTS:


A high school diploma and work experience in collecting, scheduling, processing and reporting information in a data processing environment.

PREFERRED REQUIREMENTS:


Work Experience: 3+ years. Experience in a data processing environment with direct customer interaction. (Customer Service, Call or Dispatch Center, Construction Administration/Management, Office Management.)

WORK SCHEDULE:


Work schedule is Monday - Friday, 7:30am - 4:00pm with occasional weekends. Standard Hours: 37.5
Expected Salary Range: ($ 29,100.00- $ 32,000.00)

ESSENTIAL PERSONNEL LEVEL


Normal Operations

Required to follow emergency facility closure directives, and not normally expected work on-site during emergency situations.
