Position Focus:
The Trusts & Estates Specialist assists with the receipt and processing of gifts and bequests made to the University through estates and external trusts. Serves as a key contact with fiduciaries and professional advisors. Reviews and interprets wills, trusts, and accountings; prepares necessary documents for signature on behalf of the University. Maintains current and comprehensive records and files. Other key duties include: Manages and expedites the distribution of the University’s interests in estates and external trusts, serving as a key contact with administrators, personal representatives, executors, trustees, professional advisors, and service providers. Maintains files containing all notices, documents, instruments, and agreements related to estates and trusts. Develops and oversees the maintenance of estate portfolio database. Reviews and interprets wills and trusts, prepares memoranda documenting the University’s interests. Identifies and refers complex cases for further review as necessary. Verifies accounts, prepares receipts and releases and other necessary documents for signature on behalf of the University. Collects, deposits, and processes estate and trust revenue and other planned giving revenue through the University’s accounting system. Assists in identifying appropriate individuals to receive University acknowledgements. Essential Duties
1. Plans, directs and oversees programmatic activities in support of the overall mission. Initiates, develops and oversees projects that advance the unit’s goals. 2. Tracks program activities and regularly informs leadership of progress. Recommends structural or programmatic adjustments, changes or additions based on full knowledge of mission, goals, and objectives. Develops, as needed, metrics to identify and measure success. 3. Develops, implements, and maintains operational policies and procedures. Innovates and develops best practices in line with changing unit and departmental needs. Serves as a resource to the unit director and others, as needed, in the work of the team. 4. Sets and maintains quality standards for all materials provided by and for the unit. Devises and implements plans for communications with stakeholders and others. 5. May participate in training of new staff to ensure a comprehensive understanding of the resources and procedures within the unit. 6. May hire and directly supervises unit’s student employees, including training and coordination of project assignments. 7. Keeps abreast of University information, disseminating to team members as appropriate. Maintains an awareness of best practices associated with the work of the unit. 8. May perform other duties as assigned.
Required Education and Experience
Bachelor's Degree and two years of related experience or equivalent combination of experience and education.
Required Skill/Ability 1:
Exceptional personal, organizational, analytical, and research skills.
Required Skill/Ability 2:
Competency in Microsoft Word, Adobe, and Excel. Comfort learning new technology.
Required Skill/Ability 3:
High degree of independent judgment, professionalism, and ability to maintain strict confidentiality.
Required Skill/Ability 4:

Preferred Education, Experience and Skills:
Familiarity with probate and other legal documents. Knowledge of the probate and estate administration process. Experience with PC-based database, financial, and word processing software.
