Business Need / Purpose of Role
The Operations Manager reporting to the Marine Services Manager, shall primarily be responsible for overseeing service delivery excellence to our principals. Subject matter expert for operational matters and for support in your Port. Creating opportunities for operational improvement, finding the strengths of team members and sharing best practices within the Port. The Operations Manager books relevant services and undertakes vessel boarding as required to support Operations Representatives
Objectives & Measurement – Key Responsibilities
Service Delivery
- Ensure service delivery is provided to the highest standard by coaching Operations Representatives on customer service, problem solving and being proactive
- Maintain a positive and collaborative culture.
- Establish and maintain relationships with government departments and agencies, local authorities and stake holders
- Utilize existing procedures to act on escalated matters that require an immediate response and engage in conversation with customers to address any issues or concerns.
- Ensuring that employees have a common purpose and maintain a culture where the staff supports one another.
- Meet all customer requirements for operations, finance and administration, as per agency nominations.
- Create, maintain and assist in projects for new expected growth.
- Ensure office staff is supported and updated on training and QHSSE requirements.
Operations
- Advise Local Authorities on vessel details and liaise with Vessel Master and Principal Operator daily
- Ensure acknowledgement of appointments and PDAs are attended in accordance with corporate policy and structure.
- Always perform accurate and timely updates and communications 2 times a day and ensure systems are updated to meet expectations and KPI’s.
- Monitoring and managing vessel activities to efficiently schedule Operations Representatives’ work activities.
- Participate in recruiting activities to identify and evaluate candidates for promotion and hire as needed.
- Develop and Maintain relationships with Local Vendors. Review and report their performance on a periodic basis
- Update Daily Handover and monitor email traffic for the office.
- Create a healthy working environment in and out of the office.
- Ensure that all work is done meeting compliance and QHSSE standards
- Auditing vessel files created by agents.
- Incorporate and execute projects in accordingly to ensure work is divided equally.
- Develop and evaluate employees to achieve their goals within ISS and in the performance evaluations.
- Provide support to all parts of the operation by any means required to complete the task.
Financial
- Continually seek new methods to reduce operational costs and find efficiencies.
- Properly manage the company structure to meet the necessary requirements from both ISS and Customer.
Knowledge, Skills, and Abilities
- Subject matter expert on Port Operations
- Knowledge of local port, terminal and statutory requirements and regulations
- Knowledge of Shipping documentation i.e. Bill of Lading
- Knowledge of Logistics Management
- Knowledge of QHSSE Management
- Attention to details and effective organizational skills
- Receptive to new ideas and work procedures
- Targeted and results oriented
- Customer Focus and develops strong relationship with the clients.
- Ability to work under pressure and to strict timelines
- Possess organizational and time management skills with ability to prioritize, be detail oriented and results driven.

- Bilingual (English Spanish)
- Must possess an advanced proficiency with Microsoft Word, Excel, PowerPoint, SharePoint, and Outlook.
Education, Qualifications, Certifications, and Licenses
Education/Experience:
- Bachelor’s Degree in Maritime Administration, or a related major in a public or accredited private academic institution preferred or equivalent work experience preferred.
- 2-4 years’ experience in general maritime industry (mostly vessel operations) with exposure to various commodities and vessel types utilized in the port of employment.
- Expertise in international, federal, state and/or local laws, rules and regulations for operations and security (USA & IMO).
Licenses:
- A current, valid driver's license is required.
- Once selected for employment, federal regulations require that the applicant must either undergo a federal background check as part of the Transportation Worker Identification Credential (TWIC) program or already possess a TWIC.
