JOB TITLE: Volunteer Coordinator

REPORTS TO: Director of Operations

PURPOSE OF THE JOB: To coordinate and supervise the volunteer activities of volunteer groups and individuals scheduled at the Food Pantry

NATURE OF THE WORK:

Key Activity 1: General Duties

  • Comply with all safety policies, practices and procedures. Report all unsafe conditions to the Director of Operations and Operations Manager

  • Understand and comply with the policies of the St. Vincent de Paul Society Employee Handbook

  • Demonstrate commitment to neighbor and volunteer service. Establish effective relationships with neighbors, volunteers and staff

  • Perform duties as a team member in a manner supportive of the SVDP mission, policies and procedures

  • Protect the confidentiality of SVDP, customer and neighbor information

  • Provide leadership to others through example and the sharing of your knowledge and skill

  • Communicate with others in a courteous and helpful manner

  • Perform other duties as assigned

Key Activity 2: Prior to the Arrival of Volunteers

  • Work closely with the Director of Operations, the Operations Manager and volunteer team leaders to determine the nature of the work to be completed by volunteer groups and individuals

  • Learn all categories of volunteer activities at the Food Pantry (see separate list attached)

  • Review the Food Pantry Group Volunteer Schedule and SignUp Genius daily

  • When groups of all sizes sign up review the SignUp Genius with the Food Pantry management team to plan meaningful activities for each volunteer group in advance their visit. This needs to occur at a minimum of 24 hours before they are scheduled.

Key Activity 3: Arrival of Volunteers

  • Arrange and greet all volunteer groups as scheduled. Ask each volunteer to sign in, so they are on our registry. Give a brief history of St. Vincent de Paul, its mission and ministries in Indianapolis. Give a tour of the facility (as appropriate)

  • Divide volunteers into smaller groups as projects require, introducing each group to the leader of that work area

  • Explain in a clear, concise manner the nature of the task(s) to be performed then ask if each volunteer is ok performing the task and understand what you explained

  • Monitor and circulate among the various working groups and individuals to ensure they are completing their task correctly and be visible for any questions they might have. If they have completed an assigned task, ask if they have more time (if you don’t know), then assign the next task

  • Remember that our servant volunteers have chosen St. Vincent de Paul to donate their talent and time. It is your mission to ensure they feel welcome, respected and that meaningful work for neighbors in need was completed during their volunteer time. Thank the volunteers and let them know how much they are appreciated

  • Assist in clean up and organizing after the volunteers have left

  • Ask for volunteer feedback. Share the feedback with the Director of Operations and the Operations Manager. Incorporate the feedback into the day-to-day interaction with volunteers to improve their overall experience

Key Activity 4:


  • When not coordinating volunteers, assist at the Food Pantry as needs arise

JOB REQUIREMENTS:

  • Learn about SVdP and its mission

  • Dependable and punctual.

  • Ability to work a flexible schedule Monday-Saturday based on volunteer groups’ signup days and times (mostly during normal food pantry hours).

  • Pleasant and engaging personality

  • Learn to give an educational and enjoyable, detailed tour of the Food Pantry

  • Time management and organizational skills

  • Ability to work well with people individually and as part of a team

  • Ability to multi-task

  • Be willing to perform all tasks that volunteers are asked to perform

  • Ability to lift up to 25 lbs

  • Ability to be on your feet for hours at a time.
