Job SummaryThe Engineering Business Services Center in The Grainger College of Engineering seeks applicants for an Accounting Assistant position. This position provides business and financial services to faculty, staff and students within the Department of Civil and Environmental Engineering. The incumbent performs all work in accordance with sound purchasing practices, guidelines, University and State procurement policy and procedures, and applicable Federal and State laws required for public sector higher education institutions.
Duties and Responsibilities
- Assist with processing all purchasing transactions for the department, including requisitions for purchase, purchase orders, requests for quotes, p-card orders, etc. Notify vendors when forms relating to orders are needed; review vendor-related paperwork for accuracy and compliance with university policy.
- Serves as support to the team in reconciling monthly accounts, verifies charges to accounts by matching receipts to charges, initiates contact with appropriate departments to obtain missing information and receipts. Processes journal vouchers when correcting entries are needed.
- Provide status updates on orders to faculty, staff, and students (item is on back order, delayed, etc.).
- Serve as a liaison to faculty/staff by reviewing and interpreting state and university policies and procedures concerning bid limits, vendor agreements, equipment purchases, and inventory.
- Act as internal control for the development, implementation, and deployment of automated systems related to purchases and accounts payable.
- Other duties as assigned.
Minimum Qualifications
- High school diploma or equivalent.
- Any one or combination totaling one (1) year (12 months) from the categories below:
- Coursework in accounting, as measured by the following conversion table or its proportional equivalent:
- 6 semester hours equals one (1) year (12 months)
- Coursework in any discipline as measured by the following conversion table or its proportional equivalent:
- 30 semester hours equals one (1) year (12 months)
- Work experience in bookkeeping, office support, or closely related experience.
- Coursework in accounting, as measured by the following conversion table or its proportional equivalent:
Knowledge, Skills, and Abilities
- Knowledge of university business and financial policies and procedures.
- Knowledge of personal computers and software packages such as Microsoft Word, Excel, MS Access, e-mail, Banner, and other University financial programs.
- Knowledge of operation of various office equipment as fax machines, copiers, scanners, and printers.
- Skill and accuracy in preparing University and Departmental forms.
- Accuracy, speed, and completeness in performance of tasks.
- Strong written and oral communication skills.
- Strong customer service skills.
- Ability to respond to questions and requests from faculty, staff, and students with judgement to know when supervisor needs to be involved.
Appointment Information
This is a 100% full-time Civil Service 3851 - Accounting Assistant position, appointed on a 12-month basis. The expected start date is as soon as possible after 4/17/23. Salary is commensurate with experience. Hybrid work options may be available for this position, with the ability to be on-site as needed.
