SUMMARY:
This person will be responsible for supporting critical needs under the Director of Administration for multiple executives across the organization. By nature, this person must be a planner, very organized and able to handle multiple critical tasks at a time, advanced technical abilities, while maintaining confidentiality and having a high level of discretion. This position goes above and beyond the scope of assistance. You will be offered a dynamic, fast-paced, educational and challenging work environment with lots of opportunities for development. Personality fits are important to the role. Integrity, professionalism, and positivity are crucial attributes. This position is about 85% virtual. You may be asked to travel from time to time.


ESSENTIAL DUTIES AND RESPONSIBILITIES:

1. Assistance
  • Manage complicated executive travel schedules / internal and external meetings
  • Strategize with manager to keep constant high level of administration
  • Organize, plan and schedule meetings, both virtual / in person
  • Assist in the preparation of regularly scheduled reports
  • Assist in maintaining a filing system
  • Maintain contact lists
  • Book and organize travel arrangements for multiple executives across the organization
  • Organize and submit expense reports
2. Program Administration
  • Support and administer a multitude of programs (travel, supplies, shipping, etc.)
  • AMEX GBT / Concur travel site admin support - Travel
a. Support travel site rate loading
b. Manage inbox and provide employee support
c. Support online team with troubleshooting needs
3. Special Projects
  • Complete research and provide reports on different topics
  • Organize job related webinars
  • Attend meetings as required / needed for administrative support on events and projects
  • Provide event admin support
a. Event sourcing and document maintenance
b. Create rosters / spreadsheets / event reports as needed
4. Other
  • Attend mandatory internal training classes
  • Other duties as assigned

KEY COMPETENCIES:
  • Professional discretion
  • Proven experience as an administrative assistant, virtual assistant or office administrative assistant
  • Knowledge of Microsoft Office (MS Excel and MS PowerPoint, in particular),
  • Knowledge of Zoom and other online popular video chat apps
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multitask
EDUCATION and/or EXPERIENCE:
  • High School diploma; additional qualification as an Administrative assistant or Secretary will be a plus
