Position Goal: To assure the smooth and efficient operation of the Assistant Superintendent's office and to perform general secretarial duties in a professional and courteous manner.

Essential Duties and Responsibilities:
  • Interact with students, families, staff, contractors, and the general public in a friendly, professional manner
  • Observe confidentiality of all student and professional matters
  • Make valid and independent decisions in assigned areas of responsibilities
  • Answer the phones in a pleasant manner and take messages as needed
  • Construct emails, memos, and written forms of communication and correspondence as needed
  • Exhibit skilled competence in typing, Microsoft Office, including Word and Excel
  • Open, sort, distribute, and follow up with mail, as directed by the Assistant Superintendent
  • Compile reports, prepare budget materials, and maintain records and file
  • Schedule appointments and maintain the calendar for the Assistant Superintendent
  • Develop and maintain an efficient comprehensive filing system
  • Develop proficiencies in MS Office, PowerSchool, Fusion (PO/budget), KeyNet, TalentEd, and the Time Clock System
  • Supervise all aspects of time clock for Title I, Title II Cadre, and Title III employees
  • Exhibit tact and diplomacy in stressful situations
  • Compile data, coordinate information, and upload data for various PDE reports including Comparability Report, Quarterlies and Final Reports in eGrants. Complete PDE monitoring reports as required
  • Coordinate data, meetings, and compliance requirements for Federal Programs including Title I, Title IIA, Title III, and Title IV
  • Comply with and submit data aligned with compliance requirements and grant reporting for Federal Programs including Title I, Title IIA, Title III, and Title IV
  • Attend meetings as directed and take minutes of meeting. Distribute minutes as needed
  • Responsible for all materials pertaining to PSSA/PASA/Keystone (ordering, distribution, and return procedures)
  • Responsible for managing the organization and preparation of the Summer Academy Program, including, but not limited to scheduling interviews, ordering supplies, and communicating transportation
  • Complete Elementary Extra-Curricular Letters of Intent and Contracts for All Year and Spring Activities
  • Enter Assistant Superintendent's expenses and budget information into FUSION
  • Responsible for ordering and maintaining refreshments for meetings
  • Responsible for arranging all aspects of the Annual Home & School Council Luncheon
  • Responsible for making travel arrangements for Assistant Superintendent
  • Must be cooperative, congenial, and service-oriented
  • Ability to work in an environment with frequent interruptions
  • Assist with operations related to the Board of School Directors as required
  • Assist with assigned tasks directed by the Assistant Superintendent, as needed
  • Coordinate the Holiday wish lists, a philanthropic effort for the Elementary Buildings, in coordiantion with the School Counselors

Position Specifications:

Work Year: Standard business are from 8:00 AM to 4:00 PM, but a specific schedule will be discussed during the interview process.

Educational Level: High School Diploma or GED
