Job Summary:
The Administrative Associate facilitates the efficient operation of the assigned department by performing a variety of administrative tasks and will interact with the company’s customers by addressing inquiries and resolving complaints, generally providing a higher level of customer support on a specific product or service.

Duties/Responsibilities :
- Answers and transfers phone calls, screening when necessary.
- Welcomes and directs visitors and clients.
- Processes and distributes mail.
- Maintains filing systems as assigned.
- Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.
- Responds to and resolves administrative inquiries and questions.
- Interacts with customers via telephone, email, online chat, or in person to provide support and information on an assigned product or service.
- Maintains office supplies and coordinates maintenance of office equipment.
- Maintains a system for recording expenses.
- Ensures that appropriate actions are taken to resolve customers’ problems and concerns.
- Maintains customer accounts with details of inquiries, complaints, or comments.
- Uses knowledge of a specific product, service, or other assigned area of expertise to answer inquiries or to forward to the appropriate staff.
- Coordinates and schedules travel, meetings, and appointments for managers or supervisors, as needed.
- Prepares agendas and schedules for meetings, as needed.
- Records and distributes minutes or other records for meetings, as directed.
- Performs other related duties as assigned.
Required Skills /Abilities :
- Excellent verbal and written communication skills.
- Excellent interpersonal and customer service skills.
- Excellent communication skills including active listening.
- Service-oriented and able to resolve customer grievances.
- Knowledge of, or ability to learn, product, service, or area of customer service specialization.
- Excellent organizational skills and attention to detail.
- Basic understanding of clerical procedures and systems such as record-keeping and filing.
- Proficient in Microsoft Office Suite or related software.
- Proficient computer skills with the ability to learn new software.
- Ability to work independently.
Education and Experience:
- High school diploma or equivalent.
- Customer service experience required.
- Associate’s degree preferred
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.

Pay: $19.23 - $24.72 per hour
