The Campus Police Administrative Specialist reports to the Campus Police Chief and provides administrative support to the Campus Police Department. This position is responsible for staffing the police department front information desk, addressing requests for service received in person or over the telephone, monitoring the access control and video surveillance systems and providing services for the safety of students, faculty, staff and visitors.

Responsibilities

Assist with alarm monitoring within the Campus Access Control System; utilize Campus video surveillance features to assist officers in their investigations.

Process emergency alert and warning systems including building public address system and text, email and voice alerts, upon direction of higher authority.

Routine handling of highly sensitive and/or confidential information.

Staff the front information desk, answer requests for service, reports of medical emergencies and dispatch officers/cadets or call for advanced care when necessary.

Monitor weather conditions, surveillance cameras and alarm systems. Assist in developing emergency notifications, evacuation or sheltering plans.

Assist Campus Police Sergeant with training and overseeing Public Safety Cadets.

Serve as the property evidence custodian, including lost and found items.

Responsible for data entry into the National Incident Based Reporting System (NIBR) ensuring data is correct and monthly deadlines are met.

Maintain department administrative and law enforcement records, including mandated destruction of records according to the schedules set forth by the College and the State of Illinois.

Create and maintain office procedures to promote proper record management and efficient work

Act as the Freedom of Information Act (FOIA) officer for the department, working with the Office of Finance and Administration when releasing requested records to the public.

Service as the police department matron as needed to search arrested female subjects.

Law Enforcement Agencies Data Systems (LEADS) Agency Coordinator, adhering to all coordinator requirements and duties as laid out by the Director of Illinois State Police.

Perform budget maintenance including submitting purchase requisitions, paying invoices, travel reimbursements, creating and maintaining standing purchase orders.

Create law enforcement specific printable items such as, fliers, brochures and posters.

Work with Campus Information Technology staff to maintain security cameras on the four college campuses

Perform all other duties as assigned.

Minimum Qualifications

High school diploma or equivalent required. Associate Degree preferred.

Two years of related work experience preferred. Previous experience with a police agency and proficiency in law enforcement related software systems (LEADS, I-UCR, SOS, etc.) is preferred.

Microsoft Office computer skills, email and Internet competency required. Ability to become proficient in required departmental software.

Ability to work under stress and to clearly convey thoughts and instructions to others both verbally and in writing. Ability to speak, read, write and comprehend Spanish is a plus.

Ability to multi-task, prioritize calls for service and make sound judgements.

Excellent human relations/customer service skills and a proven ability to function effectively with a wide variety of people in a dynamic environment.

Ability to pass a background investigation covering employment, education, driving, and criminal records.

Ability to maintain strict confidentiality.
